Add a Shared Mailbox in Outlook for iPhone, iPad, and Mac

To add a shared mailbox in Outlook on an Apple device, sign in with your work or school account, then add the shared mailbox from Outlook’s account or mailbox controls. You’ll need your organization to grant your account access first; the mailbox address alone is not enough. The steps differ slightly between Outlook for iPhone or iPad and Outlook for Mac.

A shared mailbox lets several people read and manage messages sent to a common address, such as support@company.com. It is different from adding another personal account: you generally open it through your own work account, and you may need separate permission to send messages from its address. These instructions are for the Microsoft Outlook app, not Apple Mail.

What You’ll Need

  • Outlook installed and updated. Use the Microsoft Outlook app for iPhone or iPad, or Outlook for Mac. The names and positions of controls can vary slightly by app version.
  • A work or school Microsoft 365 account. Sign in to Outlook with the account that your organization has authorized to use the shared mailbox.
  • The shared mailbox’s email address. Confirm the full address with its owner or your IT team. It may not be the same as the mailbox’s display name.
  • Permission to access it. Ask your Microsoft 365 administrator or mailbox owner to grant your account access, usually Full Access. Sending from the mailbox can require an additional Send As or Send on behalf permission.
  • An internet connection. Outlook needs to connect to your organization’s Microsoft 365 service to add the mailbox and sync its contents.

Step-by-Step

  1. Check which Outlook app you are using. On an iPhone or iPad, open the Microsoft Outlook app. On a Mac, open Outlook for Mac. If you mean Apple Mail, these instructions do not apply; adding a mailbox there uses Apple’s account settings and may not expose shared-mailbox features in the same way.
  2. Confirm access before changing settings. If you are unsure whether you have permission, ask the mailbox owner or IT administrator to check. Give them your work account address and the shared mailbox address. Ask for Full Access if you need to read and manage the mailbox, and separately ask whether you should be able to send as the mailbox. Permission changes may take a little time to reach Outlook.
  3. On iPhone or iPad, open Outlook’s account controls. Tap your profile picture or initials in the top-left corner of Outlook. Tap the gear icon to open Settings. The profile and Settings controls may appear in a slightly different order depending on your Outlook version.
  4. Choose Add Account, then Add Shared Mailbox. In Settings, tap Add Account and select Add Shared Mailbox. If Outlook asks which signed-in account should open it, choose the work or school account that has been granted access. Do not choose a personal Microsoft account unless your organization specifically uses it for this mailbox.
  5. Enter the shared mailbox address. Type the full email address, check it for spelling, and submit it. Outlook should attach the mailbox to the authorized account. If a sign-in prompt appears, authenticate with your own work or school credentials—not a guessed password for the shared mailbox. A shared mailbox typically does not have a separate sign-in that staff should use.
  6. Find the mailbox in the folder list. Return to the main Outlook screen and open the account or folder list from your profile icon. Expand the account if needed. Look for the shared mailbox name or address and tap it to view its Inbox and other available folders. Allow time for the first sync, especially if the mailbox contains many messages.
  7. On Mac, use the shared-mailbox option available in your Outlook layout. In current Outlook for Mac layouts, look in the folder pane for Shared with me. Control-click or right-click that heading and choose Add Shared Folder or Mailbox, then enter the shared address and confirm. If your Mac version does not show that option, use the account settings method in the next step.
  8. For the account settings method on Mac, add it under your work account. In Outlook’s menu bar, choose Tools > Accounts. Select the work or school account that has access, open Delegation and Sharing, and select the Shared With Me tab. Click the plus button, enter the shared mailbox address, and confirm. Depending on your Outlook build, the account or delegation controls may be organized differently; install available updates or use Outlook on the web if you cannot find them.
  9. Wait for the mailbox to appear and sync. Check the folder pane for the new mailbox. Expand it to see folders, and select Inbox. On a Mac, allow Outlook a short time to download the folder list and messages. On iPhone or iPad, return to the account list and refresh the mailbox if the folder does not appear immediately.
  10. Test the access you actually need. Open a recent message and, if appropriate, create a test message. To send from the shared address, use the message’s From field and select the shared mailbox address. If From is not shown, open the message options or account selector for your Outlook version. Do not assume that being able to read the mailbox also grants permission to send from it.

When the mailbox is added, it should remain available in Outlook alongside your own mailbox. You normally do not need to remove your personal account or sign out to switch between them. If you use more than one work account, verify which account the shared mailbox is attached to; adding it under an account without permission will not grant access.

Common Mistakes

  • Trying to add the mailbox before permission is granted. Outlook cannot create access just because you know the address. Ask the administrator or owner to assign the correct permissions first.
  • Signing in with the shared address. Most shared mailboxes are accessed through each staff member’s own Microsoft 365 account. Enter your own organizational credentials if authentication is requested.
  • Confusing reading access with sending access. Full Access lets you open and manage mailbox contents, but sending as the shared address may require Send As or Send on behalf permission. Ask which sending behavior your organization expects.
  • Choosing the wrong signed-in account. If Outlook has several accounts, select the one that received the mailbox permission. A personal account or another work account may not be authorized.
  • Looking for the mailbox in the wrong place. It may appear beneath your account, in a Shared with me area, or in the folder pane rather than as a new sign-in screen. Expand the relevant account or heading.
  • Adding the mailbox repeatedly. If it is already listed, adding it again may create confusion rather than solve a sync problem. First refresh Outlook, check the folder pane, and confirm whether the mailbox is already attached.

Tips

  • Use the full address when adding it. Display names can be similar, especially in larger organizations. Confirm the exact shared address with the mailbox owner.
  • Keep Outlook current. Update Outlook through the App Store on iPhone or iPad, or through Microsoft AutoUpdate or the Mac App Store, depending on how Outlook was installed. Updated builds may have different menu labels and fixes.
  • Give new permissions time to apply. If an administrator has just added you, wait and then close and reopen Outlook. Repeatedly entering the address will not make the permission take effect faster.
  • Agree on mailbox practices with your team. Decide who monitors the Inbox, how messages are categorized, and whether replies should come from the shared address. Consistent habits help colleagues avoid duplicate replies.
  • Use Outlook on the web as a cross-check. If the Mac or mobile app does not show the mailbox, sign in to your organization’s Outlook on the web using your own work account. If it is unavailable there too, the issue is more likely to involve access or account configuration than the Apple device.
  • Protect shared information. Your access is tied to your individual account. Use your organization’s sign-in and device-security requirements, and tell IT if you lose a device that has access to the mailbox.

Troubleshooting

The shared mailbox does not appear after I add it. First check that you chose the correct work account and entered the complete address. Refresh the folder list or close and reopen Outlook. If it still does not appear, ask the mailbox owner or IT administrator to confirm that your account has Full Access and that the permission has had time to apply. On Mac, also check both the Shared with me area and the account’s folder list.

Outlook says the mailbox cannot be found or opened. Check for a typo, and confirm that the address is a shared mailbox in your organization rather than a distribution list or group. Ask IT to verify that the mailbox exists, is active, and is accessible to your account. A distribution list, Microsoft 365 group, and shared mailbox are different things and may have different ways to access them.

I can open messages but cannot send from the shared address. This usually means you have access to read the mailbox but not permission to send as it. Ask the administrator for the appropriate Send As or Send on behalf permission. After it is granted, restart or refresh Outlook and try again. Confirm that the shared address is selected in the From field before sending; otherwise, the message may come from your personal work account.

The mailbox appears, but its folders or messages are missing. Give Outlook time to sync, then refresh or reopen the mailbox. Check whether you are viewing the correct account and folder. If only a particular folder is missing, ask the owner whether it exists and whether it is shared or restricted. If the mailbox remains incomplete across devices, report the issue to IT with the mailbox address and the folders affected.

The Mac menu names do not match these steps. Outlook for Mac’s layout can vary by release. Check for a Shared with me heading and its add-mailbox option first. If it is absent, look under Tools > Accounts > Delegation and Sharing for Shared With Me. Install updates if available. As a temporary check, use Outlook on the web; if that works but the app does not, tell IT which Outlook version and macOS version you use.

Outlook keeps asking for a password. Sign in with your own organizational account and complete any organization-required verification. Do not repeatedly try a password for the shared address. If your own sign-in is rejected, use your company’s normal password-reset or support process. Your administrator can also check whether your account is licensed and permitted to use Outlook.

Frequently Asked Questions

Can I add a shared mailbox in Outlook on an iPhone or iPad?

Yes. In the Outlook app, open your profile menu, tap Settings, then choose Add Account > Add Shared Mailbox. Select the authorized work account if prompted and enter the shared mailbox address. You must already have permission to access it.

Do I need a separate password for the shared mailbox?

Usually not. You access it through your own work or school account, and Outlook uses that account’s permissions. If someone asks you to use a shared password, check with your organization’s IT team before proceeding.

Why can I read the mailbox but not send from it?

Reading and sending are separate permissions. Ask your administrator whether you need Send As or Send on behalf access, then select the shared address in the From field when composing a message.

Can I add the same shared mailbox on my Mac and iPhone?

Yes, provided you use the authorized account in Outlook on both devices. Add it separately in each app if it does not appear automatically, and allow each device time to sync.

What should I do if the shared mailbox is missing from Outlook?

Confirm the address and signed-in account, refresh or reopen Outlook, and check the folder pane or Shared with me area. If it remains missing, ask the mailbox owner or IT administrator to verify your permissions and mailbox status.

Does this add the mailbox to Apple Mail too?

No. These steps add it to Microsoft Outlook. Apple Mail is a separate app with its own account setup, and your organization may not support shared-mailbox access there. Ask IT which app they recommend.
