Outlook Address Book Cache: How to Clear It Safely

To clear Outlook’s saved recipient suggestions in classic Outlook for Windows, go to File > Options > Mail > Send messages, then select Empty Auto-Complete List. This removes remembered names and addresses that appear as you type in the To, Cc, or Bcc field; it does not delete your contacts. If the problem is an outdated company directory, refresh the Offline Address Book instead. These are separate caches, so first identify which one is showing stale information.

What You’ll Need

  • Access to Outlook: The bulk-clear instructions below apply to classic Outlook for Microsoft 365 on Windows. New Outlook, Outlook on the web, and Outlook for Mac have different controls.
  • A moment to check which list is wrong: Recipient suggestions, saved personal contacts, and a company Global Address List are different things. Knowing which one you mean helps avoid deleting or changing the wrong information.
  • A connection to your work or school account, if applicable: Outlook may need to connect to Exchange or Microsoft 365 to refresh the organization’s Offline Address Book.

Step-by-Step

  1. Check where the unwanted entry appears. Start a new email and type a few characters in the To field, but do not send the message. If the old name appears in a drop-down as you type, it is probably an Auto-Complete suggestion. If you are browsing a directory through the Address Book button or People view, you may be looking at saved contacts or the company directory instead. Close the draft without sending it when you are done checking.
  2. Save any information you might need again. Clearing Auto-Complete suggestions removes Outlook’s remembered recipient entries. It does not erase the underlying contacts, but it can remove convenient suggestions for addresses that are not saved as contacts. If an address is important, copy it into a contact or another safe place before clearing the list. This is especially useful if you rely on suggestions for occasional vendors or distribution lists.
  3. Open classic Outlook’s Mail options. In classic Outlook for Windows, select File in the upper-left corner, then choose Options. In the Outlook Options window, select Mail in the left-hand list. If you do not see the File tab and Options command, you may be using new Outlook; use the section below for that version rather than searching for a setting that is not there.
  4. Clear the full Auto-Complete list. In the Mail options, find the Send messages section. Select Empty Auto-Complete List, confirm the prompt, and then select OK to close Outlook Options. The command clears the list of suggested recipients as a whole. It does not remove messages, mailbox data, or entries saved in your Contacts folder.
  5. Check that the suggestions are gone. Create another new message and type the first few letters of a name or address that used to appear. The old suggestion should no longer show as an Auto-Complete result. If you still see a matching entry, check whether it is coming from the Global Address List or a saved contact rather than the cleared suggestion cache. You can cancel the message after checking.
  6. Remove just one suggestion when you do not want to clear everything. In classic Outlook, start a message and type enough of the name or address for the unwanted suggestion to appear. Use the arrow keys to highlight the specific entry, then press Delete. On some builds, an X appears beside the suggestion and can be selected instead. Confirm that the highlighted entry is the one you intend to remove before pressing Delete; do not choose a similarly named contact by mistake.
  7. Refresh the company directory if its entries are stale. In classic Outlook connected to Exchange or Microsoft 365, select the Send/Receive tab, choose Send/Receive Groups, then select Download Address Book. In the dialog, choose the address list if prompted and select OK. Outlook downloads an updated Offline Address Book when one is available. This is separate from Empty Auto-Complete List and may not immediately change a personal contact or an entry stored in another address book.
  8. Allow the directory update to finish and check again. Keep Outlook connected while it downloads. Depending on your organization’s settings and connection, the refresh may take time, and changes made by an administrator may not be published to the Offline Address Book immediately. Open the Address Book again or start a new message and search the directory to see whether the corrected entry is available. If it is still wrong, ask your organization’s support team whether the directory itself has been updated.
  9. Use the appropriate control in new Outlook or Outlook on the web. These versions do not use the same File > Options path as classic Outlook. When a recipient suggestion appears, point to or select the suggestion and use its remove or X control if one is shown. The control can vary by version and account. Remove the specific unwanted suggestion rather than deleting a contact. If there is no bulk-clear control in your interface, remove individual suggestions or use classic Outlook for the bulk Auto-Complete command if it is available for your account.

Outlook for Mac: The Windows ribbon paths above do not apply. When composing a message, type the recipient until the suggestion appears, then use the remove control shown beside it if available. On versions that let you select a suggestion with the keyboard, highlight the unwanted entry and press Delete. Mac menus and suggestion controls vary across Outlook releases, so rely on the visible recipient suggestion controls rather than following Windows instructions.

Common Mistakes

  • Confusing suggestions with contacts. An Auto-Complete entry is a remembered recipient, not necessarily a saved contact. Clearing the suggestion list will not fix an incorrect phone number or email address in a contact card. Open People or Contacts and edit the saved contact if that is where the wrong information lives.
  • Clearing the wrong list. Empty Auto-Complete List removes remembered recipient suggestions; it does not refresh your organization’s Global Address List. Conversely, downloading the Offline Address Book does not remove a stale personal suggestion. Match the fix to where the entry appears.
  • Expecting a directory change to happen instantly. A company directory is maintained by your organization. Outlook can download its available offline copy, but it cannot correct an inaccurate source record or make an unpublished change appear.
  • Assuming the command deletes email or contacts. The bulk Auto-Complete command is not a mailbox cleanup tool. Still, be careful when removing a single entry: selecting the wrong similar-looking name can remove a useful suggestion, even though the saved contact itself remains.

Tips

  • Test with a new message, not an old draft. A draft may already contain a resolved recipient. Start a fresh message and type the name again to check whether a suggestion is still being offered.
  • Use individual removal for a one-off correction. If one obsolete address is the only problem, removing that suggestion is less disruptive than emptying the entire list. Keep the full clear for cases where many suggestions are stale or you want to reset them all.
  • Save frequently used recipients as contacts. A saved contact is easier to find and maintain than a name that exists only in Auto-Complete. For work addresses, however, use the organization’s directory when you need the current official entry.
  • Check the account and Outlook version. A work account may use an Exchange directory, while a personal account may rely mainly on personal contacts and suggestions. The same Outlook installation can also offer classic and new Outlook, with different menus and behavior.
  • Close and reopen Outlook only if the display seems stuck. Restarting may refresh what Outlook displays, but it is not a substitute for clearing Auto-Complete or downloading an updated address book.

Troubleshooting

The old suggestion returns after clearing. Check whether it is actually a contact or a directory result. A saved contact can still appear in recipient results after Auto-Complete is cleared. Also, if you use the address again, Outlook may remember it as a new suggestion. Remove the individual result again if it reappears, and update or remove the saved contact only if that contact is the source.

The Empty Auto-Complete List button is missing. Confirm that you are in classic Outlook for Windows and have opened File > Options > Mail. New Outlook and Outlook on the web use a different interface and may not offer the same bulk command. If you are in classic Outlook but cannot find the command, check that you are looking under the Send messages heading, not in the Address Book settings.

The address-book download does not change the directory. Make sure Outlook is connected to the right work or school account and that you used Send/Receive > Send/Receive Groups > Download Address Book in classic Outlook. If the directory is still outdated, the source record may not yet have been corrected or published by your organization. Contact your IT administrator; clearing your local recipient suggestions cannot repair the company’s directory.

A removed suggestion is still visible in a specific message. Check whether the recipient is already in that message’s To, Cc, or Bcc field, or whether the message is an old draft. Removing a suggestion affects future lookups; it does not edit recipients already placed in messages. Remove the address from the draft itself if needed, then test in a new message.

Outlook appears to freeze during a refresh. Give the download time to complete and check your network connection. Avoid repeatedly starting downloads. If the issue continues, restart Outlook and try once more; for a managed work account, ask IT whether Offline Address Book downloads are enabled and whether there is a service or account issue.

Frequently Asked Questions

Does clearing Outlook’s address book cache delete my contacts?

No. Empty Auto-Complete List clears remembered recipient suggestions, not saved entries in Contacts or People. You can still open a saved contact and use it to address a message. If you delete a contact separately, that is a different action.

What is the difference between Auto-Complete and the Offline Address Book?

Auto-Complete remembers recipients you have used and suggests them while you type. The Offline Address Book is a downloadable copy of an organization’s directory for Exchange or Microsoft 365 accounts. Clearing one does not automatically refresh or remove entries from the other.

Can I clear one address without removing every suggestion?

Yes. Start composing a message, bring up the unwanted suggestion, and use its remove control. In classic Outlook for Windows, you can usually highlight the suggestion with the arrow keys and press Delete. The exact control may differ in new Outlook, web, and Mac versions.

Why does an old email address keep appearing after I cleared the list?

It may be saved in Contacts, supplied by your company directory, or already present in a draft. It can also be remembered again if you send to that address later. Identify where it appears before repeating the clear, then edit the relevant contact or remove the individual suggestion if appropriate.

Can I refresh the Offline Address Book in new Outlook or on a Mac?

The manual Download Address Book path described here is for classic Outlook on Windows. New Outlook and Outlook for Mac handle directory updates differently, and available controls depend on the account and release. If an organization entry remains incorrect, contact your administrator rather than trying to clear personal suggestions.

Will clearing the cache fix an incorrect name in my company directory?

No. Outlook can refresh a locally downloaded directory, but the source information is managed by your organization. Ask your IT or directory administrator to correct the record and publish the change; then allow Outlook to receive the updated list.
