To schedule an email in Outlook, write the message, open the menu beside Send, choose Schedule send, and select a delivery time. In classic Outlook for Windows, use Options > Delay Delivery instead; the exact steps depend on which Outlook version you use.
Choose the Outlook version you are using
Microsoft offers several Outlook experiences, and their scheduling controls are not identical. New Outlook for Windows, Outlook on the web, Outlook.com, and current Outlook for Mac generally provide a Schedule send command beside the Send button. Classic Outlook for Windows uses a delivery-delay setting in the message’s Options ribbon. If the steps below do not match your screen, check whether you are using new Outlook or classic Outlook before troubleshooting.
In new Outlook for Windows, look for the new Outlook switch or app branding; classic Outlook has the traditional desktop ribbon and a File tab. Outlook on the web runs in a browser, while Outlook.com is Microsoft’s personal email service. Work or school accounts may be managed by an organization, which can affect available features or policies. The labels and suggested time choices can also vary as Microsoft updates its apps.
Schedule an email in new Outlook or on the web
In new Outlook for Windows or Outlook on the web, the message is usually held until the selected send time rather than sent immediately. Use these steps:
- Select New mail or New message and write the recipient, subject, and message.
- Select the small arrow or dropdown beside Send. Do not select the main Send button, which sends the email immediately.
- Choose Schedule send. Select one of the suggested times or choose the option to set a custom time.
- For a custom time, choose the date and time you want, check the displayed setting, and confirm the schedule.
After scheduling, Outlook should show a confirmation and place the message in a scheduled or draft area, depending on the version and account. Open that item if you need to review the message. A scheduled email is not the same as an item in Sent Items: it has not yet been sent to its recipients.
For example, if you finish a project update at 8 p.m. but want colleagues to receive it at 9 a.m. the next workday, choose the next day and a time shortly after the team’s workday begins. Before confirming, check the date as well as the hour; a choice of 9 a.m. on the wrong day can be easy to miss.
Schedule an email in classic Outlook for Windows
Classic Outlook for Windows uses Delay Delivery. It schedules an individual message, but the message is handled differently from one scheduled with the newer Schedule send command.
- Start a new email and fill in the recipients, subject, and message.
- In the message window, open the Options tab.
- Select Delay Delivery. In some ribbon layouts, this appears in the More Options or Tags area.
- Under Delivery options, select Do not deliver before, then set the date and time.
- Close the properties window and select Send.
The message normally stays in the Outbox until its release time. Sending it to the Outbox does not mean it has already reached the recipient. Classic Outlook’s delay feature depends on the desktop app being online and connected when the message is due, so keep Outlook open and connected around the scheduled time. If you use this method for an important message, check the Outbox afterward to confirm it has left.
There is a practical difference between this method and the newer Schedule send feature: a classic delayed message is queued in Outlook’s Outbox, while the newer feature is designed to hold the message for later delivery through the account. If you need the schedule to remain dependable while your computer is off, use Schedule send in new Outlook or Outlook on the web when it is available for your account.
Schedule an email in Outlook for Mac
In current Outlook for Mac, compose a message and use the dropdown beside Send, then select Schedule Send and choose a suggested or custom date and time. Review the confirmation before closing the message. The precise wording or location can vary with the Outlook update and account type.
If you do not see Schedule Send, first make sure the message window is expanded and look for a small arrow next to Send. Check that Outlook is updated and that you are signed in to the account you intend to use. You can also sign in to Outlook on the web and schedule the message there. Outlook for Mac does not use the classic Windows Options > Delay Delivery path, so instructions for that ribbon should not be expected to match the Mac interface.
Edit, cancel, or send a scheduled message now
Scheduling is useful partly because it gives you a chance to make changes before delivery. Open the scheduled message from the folder or area Outlook identifies after scheduling. Choose the option to edit or cancel the schedule, make the change, and schedule it again if needed. To prevent delivery, cancel the scheduled send or delete the message before its send time. The available controls can differ by Outlook version, so confirm the message is no longer scheduled rather than assuming that closing its window cancels it.
In classic Outlook for Windows, find the delayed message in the Outbox. Open it to change the delivery time or message, then send it again with the updated setting. To stop it from being sent, delete it from the Outbox. If Outlook is offline, a message may remain there after the intended time; reconnect and inspect it before assuming the recipient received it.
Once a message has actually been sent, canceling its schedule is no longer possible. Some work or school accounts offer message recall in limited circumstances, but recall is not a dependable substitute: it may depend on the recipient’s account and organization. If the content is sensitive or the recipient list is wrong, check carefully before the scheduled time.
How scheduling works: timing, devices, and recipients
Outlook scheduling controls when your account attempts to send a message; they do not guarantee when it will appear in the recipient’s inbox. Delivery can be delayed by connectivity, mail-server processing, spam filtering, recipient-side rules, or the recipient’s provider. Treat the selected time as the intended send time, not a promise of instant arrival.
Pay attention to the time zone shown by Outlook and the device or account settings. If you are scheduling while traveling, or setting a message for someone in another region, check the displayed date and local time rather than calculating from memory. A message scheduled for 8 a.m. in your Outlook time zone is not necessarily scheduled for 8 a.m. in the recipient’s time zone.
Scheduling also does not change the message’s recipients or content. To reduce avoidable mistakes, verify:
- The To, Cc, and Bcc fields, especially if you are replying to a long thread.
- The subject and any attachment you intended to include.
- The scheduled date, time, and time zone shown in the confirmation.
- Whether the message is still waiting or has already moved to Sent Items.
For a message with a large attachment, a link to a shared file may be more useful than attaching a copy that could become outdated. Check that the intended recipients have permission to open the link. Scheduling does not grant file access or prevent recipients from forwarding the message.
Common problems and practical fixes
There is no Schedule send option. Check that you opened the dropdown beside Send rather than clicking Send itself. Confirm which Outlook version you are using, update the app if appropriate, and try Outlook on the web. An organization may also limit features for managed accounts.
The message is still in the Outbox. This is expected for classic Outlook’s Delay Delivery method until the message is released. Check your internet connection and whether classic Outlook is running. If the scheduled time has passed, open the Outbox and review the message rather than sending a duplicate immediately.
The message went at the wrong time. Review the date, time, and time zone selected when scheduling. If the message is still pending, edit or cancel it and set the correct time. If it has already been sent, scheduling cannot undo delivery.
The email appears not to have arrived. Check Sent Items to see whether Outlook sent it, then verify the recipient address and ask the recipient to check junk or spam folders. If a classic delayed message is still in the Outbox, it has not yet been sent from Outlook. A recipient’s mail system can also delay or filter a message after Outlook sends it.
You are worried about closing your laptop. For the newer Schedule send feature, the message is generally held by the mail service, so the computer does not need to remain open for the scheduled time. Classic Outlook’s Delay Delivery is different: keep the app online and connected when the message is due. When in doubt, check which method created the scheduled message.
When scheduling is useful—and when it is not
Scheduling can help you send routine updates during business hours, prepare a reminder in advance, or avoid sending a work message late at night. It can also help coordinate across time zones, provided you confirm the recipient’s local working hours and the time zone Outlook displays.
It is less suitable when a message must be acted on immediately, when details may change before the scheduled time, or when delivery has a strict deadline. For urgent or high-stakes communication, send the message directly and confirm receipt through an appropriate channel. For recurring reminders, calendar events, or automated notifications, a calendar appointment or an approved workflow tool may fit better than repeatedly scheduling individual emails.
Frequently Asked Questions
Can I schedule an email in Outlook when my computer is off?
With Schedule send in new Outlook, Outlook on the web, or a supported Outlook for Mac version, the message is generally held by the mail service, so your computer can be off. Classic Outlook’s Delay Delivery relies on Outlook being online and connected at the scheduled time.
Where do scheduled emails go in Outlook?
The location depends on the method and version. Newer Outlook experiences show the scheduled message in a scheduled or draft area, while classic Outlook for Windows keeps a delayed message in the Outbox until it is due.
Can I change the time after scheduling an email?
Usually, yes, as long as it has not been sent. Open the scheduled message, cancel or edit its schedule, and select a new time. In classic Outlook for Windows, edit the item in the Outbox and update its Delay Delivery setting.
Can I schedule an email from the Outlook mobile app?
Availability and steps can depend on the mobile app version and account. Look for a schedule or send-later option in the compose screen’s Send menu. If it is not available, schedule the message using Outlook on the web or a desktop version that offers the feature.
Does a scheduled email send if Outlook is closed?
For the newer Schedule send feature, it generally can, because the account holds the message for later. For classic Windows Delay Delivery, keep Outlook running and connected around the chosen time to avoid leaving the message queued in the Outbox.
