To pull archived emails back into Outlook, find them in the Archive folder, an Online Archive mailbox, or an opened archive file, then select the message and choose Move > Inbox (or another folder). The exact steps depend on where the email was archived, so first check which kind of archive you have.
What You’ll Need
- Access to the Outlook account or data file where the message was archived. If it is a work or school account, your organization may control access to its Online Archive.
- A search clue, such as the sender, a phrase from the subject, or an approximate date. Search works best when you have at least one specific detail.
- If the archive is a PST file, the file itself and its password, if it is password-protected. Keep a backup copy before changing or importing data.
Step-by-Step
- Identify the kind of archive. Outlook users may mean one of three things by “archive.” The regular Archive folder is part of the mailbox and usually receives messages when you click the Archive button. An Online Archive is a separate mailbox area, typically provided by a work or school Exchange account. A PST archive is a data file stored on a computer or network location. Start by looking at the folder list: if you see Archive, Online Archive, or an opened data file, you have a useful clue. If you are unsure, check each location in turn.
- Expand the folder list and check the Archive folder. In Outlook for Windows, use the folder pane on the left. Expand your account if its folders are collapsed, then select Archive. In Outlook on the web, open the folder list and choose Archive under the account. In Outlook for Mac, find Archive in the account’s folder list. If the folder pane is hidden, use the app’s View options to show it; the exact control can vary between the new and classic Outlook layouts. Check the folder’s message list before moving anything.
- Search for the message if browsing is slow. Click the Outlook search box and enter a distinctive sender name, email address, subject phrase, or date-related term. Search results can include messages from many folders, so open a result and check its folder or location before acting. In classic Outlook for Windows, use the search scope options near the search box, such as Current Mailbox or All Mailboxes, when appropriate. In new Outlook and Outlook on the web, choose an all-folder scope if it is offered. If you know the message is in an Online Archive, select that archive or search within it rather than assuming a normal mailbox search includes it.
- Open the result and confirm it is the right email. Check the sender, subject, date, and any surrounding conversation. If the result is a conversation, expand it so you can select the particular message you want. Look for the displayed folder or mailbox location; this helps distinguish two similarly named messages and tells you whether the item is in Archive, Online Archive, or another folder. Do not rely only on the preview text, which may show a reply or a different message in the same conversation.
- Move the message to the folder where you want it. Select the email. In Outlook for Windows, choose Move on the ribbon or toolbar, then choose Inbox or another destination. In classic Outlook, you can also right-click the selected message and choose Move, then select the destination folder. In Outlook on the web or new Outlook, use the toolbar’s Move control and select the destination; menu placement can differ by layout. In Outlook for Mac, select the message and use Message > Move or the Move control in the toolbar, then choose the folder. Moving an item out of Online Archive may take a moment to complete.
- Verify the move. Open the destination folder and search there for the sender or subject. If the message is part of a conversation, confirm you moved the intended item; moving one message does not always move every message in that conversation. If the item remains visible in the old folder briefly, refresh Outlook or wait for the account to synchronize before trying again. Avoid repeating the move while the first action is still processing.
- If the archive is a PST file, open the file before searching it. In classic Outlook for Windows, choose File > Open & Export > Open Outlook Data File, browse to the PST file, and open it. Its folders should appear in the folder pane; select the relevant folder and search or browse for the email. Once found, use Move to copy or move it into your mailbox. Outlook for Mac can import PST data through Tools > Import in supported versions, but importing may add items to the account rather than expose the PST as a browsable archive. If you need to preserve the original file structure, keep a backup and check the import choices before proceeding. New Outlook for Windows does not have every classic Outlook data-file feature, so use classic Outlook if the PST option is unavailable.
Common Mistakes
- Confusing Archive with Online Archive. The Archive folder is an ordinary mailbox folder. Online Archive is a separate mailbox area and may require an eligible work or school account. Searching one does not guarantee that you searched the other.
- Assuming Archive means deleted. Clicking Archive normally moves a message out of the Inbox; it does not send it to Deleted Items. Check Archive and other folders before concluding the email is gone.
- Searching only the current folder. A search limited to Inbox or another selected folder will not find a message stored elsewhere. Broaden the scope, or search the likely archive directly.
- Moving the whole conversation by accident. Conversation view groups related messages. Expand the conversation and select the specific message if you only want to retrieve one part of it.
- Importing a PST when you only wanted to look inside it. Importing can add messages and folders to a mailbox and may create duplicates. If classic Outlook is available, opening the data file is often a better first step for finding one item.
Tips
- Search with a distinctive phrase from the subject or the sender’s full email address. Very broad searches such as “invoice” can return a large number of unrelated results.
- Use a date range to narrow results when you know roughly when the email arrived. Search syntax and filter controls vary between Outlook versions, so use the date filters shown in your version rather than relying on a command that may not be supported.
- Move retrieved messages to a clear destination, such as Inbox, a project folder, or a follow-up folder. If the email is only needed for reference, leaving it in Archive and using a category or flag may be enough.
- For an important PST archive, make a separate backup before moving or importing a large group of messages. Store the copy somewhere you can access later, and do not edit the only copy of the file.
- In a shared or work account, check with your IT administrator before changing retention-managed messages or moving large volumes out of Online Archive. Company policies may affect what you can move or how long items remain available.
Troubleshooting
The Archive folder is missing: Expand the account in the folder pane and look for hidden or collapsed folders. If you are using a focused or compact folder list, switch to the full folder view. You can also search All Mailboxes or all folders, if that option is available. If the folder still does not appear, confirm that you are signed in to the correct account; an Archive folder in one account will not contain messages archived in another.
You cannot see Online Archive: Online Archive is not available for every personal Outlook account or subscription. It is commonly set up by an organization for eligible Exchange accounts. Restart or refresh Outlook and check that the work account is connected. If it remains absent, ask your Microsoft 365 administrator whether the mailbox has an archive enabled and whether your account has permission to access it.
Search returns no results: Remove extra words, check spelling, and try the sender’s address or a shorter subject phrase. Broaden the search scope and check Deleted Items and Junk Email if appropriate. Search the Online Archive separately when that is where the message should be. For a PST, make sure the file is open in classic Outlook and search its folders rather than only searching the live mailbox.
The message appears but will not move: Check that you have permission to edit the mailbox and that the destination folder is available. For Online Archive, allow time for synchronization, then try again once. If Outlook reports a connection or server error, reconnect to the internet, restart the app, and retry. In a managed work account, retention or access policies may restrict moving the item; contact IT rather than repeatedly attempting the same action.
A PST will not open: Confirm that you selected the actual .pst file, that the file is not on a disconnected drive, and that you have permission to access it. A damaged or unusually large data file may need repair or administrator assistance. Do not overwrite the original while troubleshooting; preserve a copy first. If you are using new Outlook and cannot find the classic Open Outlook Data File command, switch to classic Outlook if it is installed.
Frequently Asked Questions
Does Outlook delete emails when I archive them?
Usually, no. The Archive button moves a message from the Inbox to the Archive folder. It remains in the mailbox unless it is separately deleted or removed by an account policy.
How do I return an archived email to my Inbox?
Find and select the message, choose Move, and select Inbox. Confirm the move by opening Inbox and searching for the message. If it is in an Online Archive, you may need access to that mailbox before moving it.
Can I pull back an email archived years ago?
Yes, if the email still exists in the mailbox, Online Archive, or a PST file you can access. Search by sender, subject, or approximate date, and check retention limits with your organization if it is a work account.
Why can I find an archived email on the web but not in the desktop app?
The desktop app may be signed in to a different account, using a narrower search scope, or still synchronizing. Confirm the account and folder, broaden the search, then refresh or restart Outlook. Work-account archive access may also depend on how the organization has configured Outlook.
Can I recover archived emails in Outlook on my phone?
In the Outlook mobile app, open the folder list, tap Archive, select the message, and use the Move control to choose Inbox or another folder. If the archive is an Online Archive or PST, mobile access may be limited; use Outlook on the web or desktop to locate it.
