To manually archive an email in Outlook, select the message and choose Archive; Outlook moves it to the Archive folder without deleting it. If you want to store older mail in a separate file on your computer, classic Outlook for Windows also has a manual Clean Up Old Items command. The right method depends on whether you want messages kept in your mailbox or moved into a local archive file.
Before starting, check which Outlook version you use and whether the messages are in the correct account. The Archive button is available in Outlook on the web, new Outlook for Windows, classic Outlook for Windows, and Outlook for Mac, though the toolbar layout can vary. The separate-file method below applies to classic Outlook for Windows and may be restricted by your organization.
What You’ll Need
- Access to the Outlook account and folder containing the messages.
- A decision about the destination: the account’s Archive folder, a folder you create, or a separate archive file in classic Outlook for Windows.
- If creating a separate file, enough local disk space and permission to save a Outlook Data File (.pst). Keep a backup of important files.
- If this is a work or school account, check whether your organization applies retention rules or disables local archive files.
Step-by-Step
- Choose the kind of archive you need. Use the Archive button for a simple way to clear messages from the Inbox while keeping them in the mailbox. Use a custom folder if you want to group messages by project, year, or sender. Use a PST file only if you specifically need an offline, separate data file and are using classic Outlook for Windows. These options are not interchangeable: a message in the mailbox Archive folder remains part of the mailbox, while a PST is stored separately and may not be available on the web or on a phone.
- Find the messages you want to move. Open the relevant account and folder, such as Inbox, Sent Items, or a project folder. Use Outlook’s search box or sort by date to locate messages, then inspect the results before selecting them. You can select one message, or hold Ctrl on Windows while clicking individual messages. To select a consecutive range, click the first message, hold Shift, and click the last. On Mac, use Command for individual selections and Shift for a range. Be careful when the message list includes search results from more than one folder.
- Move messages to the Archive folder. In Outlook on the web or new Outlook for Windows, select the message or messages and click Archive on the toolbar above the list. If the button is not immediately visible, open the message’s More actions menu, usually shown as three dots, and look for Archive. In classic Outlook for Windows, select the messages and choose Home > Archive; the button’s position can vary with ribbon layout. In Outlook for Mac, select the messages and click Archive on the toolbar or use the message menu if the button is hidden. Outlook moves the selected items to the account’s Archive folder. It does not normally ask you to choose a destination each time.
- Use a custom folder when you need more organization. Create a folder first, or choose an existing one. In Outlook on the web and new Outlook, use the folder pane’s New folder command, or right-click the account or an existing folder and choose the available folder-creation option. In classic Outlook for Windows, right-click the mailbox or folder in the folder pane and choose New Folder. In Outlook for Mac, use the folder menu or Folder > New Folder. Give the folder a clear name, such as Archived Projects 2024. Select the messages, choose Move to on the toolbar or in the message menu, and select that folder. If the folder is not listed, expand the correct account in the folder pane or use the move dialog to browse for it.
- For a separate PST file, open classic Outlook for Windows. This option is not available in new Outlook, Outlook on the web, or Outlook for Mac. In classic Outlook, select File > Info > Tools > Clean Up Old Items. If Tools is not shown, your Outlook build, account, or organization settings may not provide the command. In the dialog, choose Archive this folder and all subfolders, then select the folder you want to process. Selecting the mailbox root includes its folders, so choose a narrower folder if you do not intend to archive everything in the account.
- Set the date and file location carefully. In the Clean Up Old Items dialog, enter a date in Archive items older than. Outlook includes items with dates older than that cutoff; messages newer than it remain in the original folder. Select Browse to choose the PST file’s location and name, or choose an existing archive file if that is your intention. Use a location on a local drive that you can back up, rather than a network share or a folder that is constantly synchronized. Check the folder, cutoff date, and destination one more time, then click OK. The process can take a while for a large mailbox.
- Confirm where the messages went. For the Archive-button method, open the Archive folder under the same account and search for a message you moved. For a custom folder, open that folder and verify a few messages and attachments. For a PST, return to the folder pane and look for the archive data file; if it is not displayed, use File > Open & Export > Open Outlook Data File in classic Outlook, browse to the PST, and open it. Check several older and newer messages against the cutoff. Do not delete another copy or empty Deleted Items until you have confirmed the archive contains what you need.
Common Mistakes
- Expecting the Archive button to free mailbox storage. It moves a message to another folder in the same mailbox. The message may still count toward the mailbox quota. A separate PST or an organization-provided online archive has different storage behavior.
- Confusing Archive with Delete. Delete sends messages to Deleted Items; Archive moves them to Archive. If you accidentally delete messages, check Deleted Items and move them back. Do not assume that a message moved to Archive has been removed permanently.
- Picking the wrong account or folder. Outlook can show several mailboxes with similarly named folders. Check the account name and location before moving a large selection, especially after searching across mailboxes.
- Using an overly broad PST selection or cutoff. Choosing the mailbox root can affect multiple folders, and an incorrectly typed date can move the wrong range. Start with a specific folder and a clear cutoff if you are unsure.
- Treating a PST as a cloud backup. A PST is a separate data file, not automatically synchronized across Outlook apps. If the file is lost or damaged, its contents may be difficult to recover. Keep a separate, reliable backup and avoid editing the file from multiple Outlook sessions at once.
Tips
- Try a small batch first. Move a few messages, verify their destination, and then repeat with the rest. This is especially useful when selecting messages from search results.
- Use names that explain both subject and date, such as Archived Invoices 2023. Consistent names make folders easier to find later.
- Search for a distinctive sender, subject, or date after moving messages. Search results may include more than one folder, so check the displayed folder or open the result to confirm its location.
- For a PST archive, record the file’s location and include it in your backup plan. If you change computers, you must move the file and open it in classic Outlook to access its contents there.
- If the account is managed by an employer or school, ask about retention and compliance requirements before moving mail to a local file. A local PST may not meet organizational recordkeeping rules.
- Archive in manageable batches instead of moving an entire mailbox during a busy work period. Large moves can take time to synchronize, particularly on a slow connection.
Troubleshooting
The Archive button is missing. In the web app or new Outlook, select a message to reveal message actions, then check the three-dot menu. In classic Outlook or Mac, widen the window or inspect the message’s context menu; compact ribbon layouts can hide buttons. If the action remains unavailable, your account settings or administrator may restrict it.
The message seems to have disappeared. Check the Archive folder under the same account, not just the folder where you started. Search for a unique part of the subject and inspect the result’s folder. Also check Deleted Items in case Delete was clicked, and check whether a filter or conversation view is hiding the message.
The PST command or option is unavailable. Confirm that you are using classic Outlook for Windows, not new Outlook, Outlook on the web, or Outlook for Mac. Some work or school accounts and administrator policies restrict PST use. If your organization provides an online archive mailbox, ask your administrator whether that is the approved alternative.
The PST is not visible after archiving. In classic Outlook, open it using File > Open & Export > Open Outlook Data File and browse to the saved file. If you cannot locate it, search Windows File Explorer for the PST filename or check the location you selected in the archive dialog. Do not create a second archive over the same path until you know what happened to the first one.
The move is taking a long time or does not appear on another device. Wait for Outlook to finish synchronizing and check that the app is online. A message moved within a mailbox should sync to other connected devices, but a PST stored on one computer generally will not. Restarting Outlook may refresh the folder view; if the issue continues, check account connectivity or contact your administrator.
Frequently Asked Questions
Does archiving an email delete it?
No. The Archive button moves a message out of its current folder and into the account’s Archive folder. You can open that folder and move the message back. Deleting a message is a separate action.
Will archiving emails reduce my Outlook mailbox size?
Usually not if you use the Archive button, because the messages remain in the same mailbox. A separate PST file can move mail out of the mailbox in classic Outlook, but storage and retention rules depend on your account and organization.
Can I manually archive emails in new Outlook?
Yes, use the Archive button to move messages to the mailbox’s Archive folder, or move them to a custom folder. The Clean Up Old Items command for creating a PST archive is a classic Outlook for Windows feature and is not available in new Outlook.
Can I archive emails in Outlook for Mac?
Yes. Select messages and use the Archive toolbar button or the message menu. This moves them to the account’s Archive folder. Outlook for Mac does not provide the classic Windows Clean Up Old Items PST workflow.
How do I find an archived email later?
Open the Archive folder for the correct account, or search Outlook by sender, subject, or a distinctive word. If you used a PST, open that data file in classic Outlook and search within its folders.
Can I undo a manual archive?
Yes. Open the Archive folder, select the message, and use Move to to return it to the Inbox or another folder. If you archived to a PST, move the message from the PST to the desired mailbox folder while the data file is open.
