To create personalized Hindi letters in Word, prepare an Excel list with one person per row, write your Hindi document, then use Word’s Mailings tab to connect the list, insert fields, preview records, and finish the merge. You can use Hindi for the fixed text and for names or addresses in the recipient list; keep the data in Unicode so Devanagari characters display correctly.
What You’ll Need
- Microsoft Word for Microsoft 365 on Windows: The steps below use the English ribbon names. On Mac, the Mailings tools are similar, though some buttons may be arranged differently.
- An Excel recipient list: Put one recipient in each row, with a clear column heading for each piece of information you want to personalize, such as नाम, पता, शहर, or अभिवादन. Save the workbook as an .xlsx file.
- Your Hindi text: Decide what the letter should say and where each recipient-specific value belongs. You can type Hindi directly in Word and Excel using a Hindi keyboard or an input method.
- A Devanagari-capable font: Use a Unicode font such as Mangal or Nirmala UI if it is installed. Word may substitute another font if the chosen one is unavailable.
- A printer or a place to save the merged file: You can merge into a new Word document first, review it, and then print or save it as a PDF.
Step-by-Step
- Prepare the recipient data in Excel. In row 1, enter one unique heading per column. For example, use नाम, पता, शहर, and कार्यक्रम_तिथि. Enter each recipient’s details on a separate row below the headings. Avoid blank heading cells, merged cells, and completely blank rows inside the list. Keep postal codes as text if they may begin with zero, so Excel does not remove the leading zero. Save the workbook, then close it before connecting from Word to reduce the chance of a file access conflict.
- Check the Hindi data before merging. Make sure names and addresses appear as readable Devanagari characters in Excel, not as empty boxes or question marks. Use Unicode Hindi text rather than an old legacy font encoding. Check spelling, spacing, and any English or numeric values that should remain unchanged. If the source data looks wrong in Excel, correct it there before moving on; mail merge will reproduce the source values rather than repair them.
- Create the main document in Word. Open a blank document and type the parts of your letter that are the same for everyone, such as the organization name, date, subject, and main message. Set a suitable font and size for Hindi text. A typical letter might begin with नमस्ते followed by a recipient’s name, then include a paragraph with an event date and location. Leave a clear space wherever a personalized value should appear.
- Choose the type of merge. In Word for Windows, select Mailings > Start Mail Merge > Letters for individual letters. This keeps each record in a letter-style layout. If you are preparing envelopes or labels instead, choose the matching option from Start Mail Merge and follow its layout prompts. The Mac version also has a Mailings tab and corresponding merge choices, although the ribbon layout can differ slightly.
- Connect the Excel workbook. Select Mailings > Select Recipients > Use an Existing List. Browse to the saved .xlsx workbook and select it. If Word asks which table or sheet to use, choose the worksheet containing the list and confirm that the option indicating the first row contains column headers is selected. If the list is in a named table, choose that table when it appears. Word should now be able to use the column headings as merge fields.
- Insert a recipient-specific name. Click in the document where the name should appear. Select Mailings > Insert Merge Field, then choose the appropriate heading, such as नाम. Word inserts a merge field at the cursor. Do not type a field name by hand: use the menu so Word creates a field connected to your data. Add ordinary punctuation and spaces around the field as needed. For example, place a comma after the name field if that fits the tone of your Hindi letter.
- Add the other fields and complete the Hindi text. Insert a field wherever a value changes by recipient, such as an address, city, or event date. Keep fixed Hindi words as normal document text. For example, you could write आपका कार्यक्रम इस दिन है: followed by the date field, and then स्थान: followed by the city field. Check that there is a space before and after each field where Hindi sentence spacing requires one. A field may look like a label in the editing view; that is normal and does not mean the Hindi value is missing.
- Check how Word matches the columns. Select Mailings > Match Fields if you are using a built-in address or greeting element and Word needs help identifying your headings. Match each requested item to the correct Excel column. If you inserted fields individually with Insert Merge Field, confirm that you chose the intended headings. A field called शहर should not be mapped to a column containing postal codes, for example.
- Preview several records. Select Mailings > Preview Results. Word displays actual values in place of the fields. Use the previous and next record arrows in the Mailings ribbon to inspect more than the first person. Check a short name and a long name, rows with optional details, and the last record. Look for missing spaces, unwanted blank lines, incorrect punctuation, cut-off addresses, and Hindi characters that appear as boxes. Turn Preview Results off if you need to edit the field layout.
- Finish the merge into a new document first. When the preview looks right, select Mailings > Finish & Merge > Edit Individual Documents, then choose All or specify a record range and confirm. Word creates a separate document containing the merged letters. Review the resulting pages, especially page breaks and any records with longer text. This review copy is safer than sending a large job straight to the printer.
- Print or save the reviewed result. In the merged document, use File > Print to print, or use File > Save As to save the result as a Word document. To create a shareable PDF, use File > Save As and select PDF as the file type, or use the available PDF export option. Open the PDF and check that the Hindi glyphs and page layout remain correct before distributing it. Keep the original main document and recipient workbook in case you need to make corrections and merge again.
Common Mistakes
Using the wrong heading row: Word expects the first row of the selected list to contain field names. If the first row is a title or blank, the connection may treat the wrong values as headings. Put the headings at the top of the data range, with actual records directly below.
Changing headings after connecting: Renaming or moving columns in Excel after Word has connected can leave the document pointing to outdated field names. Save the workbook, reconnect it if needed, and check the inserted fields again.
Typing a field instead of inserting one: Text that merely looks like a merge field will not pull in a recipient’s data. Insert fields using Mailings > Insert Merge Field.
Assuming the first preview is enough: One short name can fit neatly while a longer name or address wraps onto another line. Preview multiple records and inspect the merged document before printing every copy.
Using incompatible Hindi text: Legacy, non-Unicode Hindi text can display incorrectly on another computer or in a PDF. Keep source data in Unicode and check that the document uses a font that supports Devanagari.
Tips
- Use short, distinct headings such as नाम, शहर, and मोबाइल rather than repeating the same heading in several columns. Simple headings are easier to recognize in Word’s Insert Merge Field menu.
- For names or addresses that may be missing, inspect those Excel rows and decide whether to fill in the data or adjust the wording. A sentence that assumes every field is present can look awkward when a value is blank.
- Use a separate column for a complete greeting if recipients need different forms of address. This gives you more control over Hindi honorifics than trying to build every variation into one sentence.
- Keep an unchanged copy of the source workbook. Corrected data can be merged again without having to reconstruct the original list.
- If a long address makes a letter overflow, adjust the document’s margins or paragraph spacing slightly, or shorten fixed text. Avoid shrinking the font so much that the Hindi becomes difficult to read.
- Print one sample page or save a test PDF before producing many copies. This catches alignment and font problems at low cost.
Troubleshooting
Word does not show my Excel headings: Recheck the selected worksheet or table and confirm that the first row contains headings with no blank cells. Close Excel, save the workbook, then use Mailings > Select Recipients > Use an Existing List to select the correct file and sheet again.
The merge field appears, but no name shows in the preview: Turn on Mailings > Preview Results and move to another record. If the field still appears blank, verify that the selected Excel column has data in that row and that the field is connected to the right heading. Also check that Word is using the expected recipient list through Select Recipients.
Hindi appears as boxes, disconnected marks, or incorrect characters: Confirm that the text is Unicode in Excel and Word. Select the affected text and choose a Devanagari-capable font, then check the same page in the merged document and exported PDF. If the problem is only on another computer, that system may not have an appropriate font or language support installed.
Some pages have extra blank lines or an unwanted blank page: Preview the records that contain empty fields. Remove surplus paragraph marks around fields, and review paragraph spacing and page breaks in the main document. Then create a fresh merged document; edits to the old merged copy do not update when you change the source list.
The wrong person’s details appear together: Check that each Excel record is on one row and that all values in that row belong to the same person. Sort the entire table rather than a single column, because sorting one column alone can misalign names and addresses. Reconnect or refresh the recipient list and preview the affected records again.
The ribbon looks different on Mac: Confirm that you are using Word’s Mailings tab; some commands may be in a different position or use slightly different wording in the Mac release. The basic sequence remains selecting recipients, inserting fields, previewing results, and finishing the merge. If a particular command is not visible, use Word’s command search to locate it.
Frequently Asked Questions
Can I write the whole mail merge in Hindi?
Yes. Type the fixed letter text in Hindi and use Hindi or other Unicode values in Excel. Merge fields act as placeholders; they do not require the surrounding text to be English.
Can I use Hindi names in Excel column headings?
Yes. Word can use Hindi headings as merge-field names. Keep each heading unique and easy to identify. If a heading is difficult to distinguish in Word, use a simple alternative such as नाम or शहर.
Can I merge directly from Excel without saving the workbook?
No. Save the workbook first so Word can connect to a stable data source. If you edit the source later, save it and check the recipient list and preview in Word again.
Can I send the merged letters by email?
Word supports email merges through Mailings > Start Mail Merge > E-mail Messages. The recipient list needs an email-address column, and sending depends on a compatible, configured email account and the available Outlook setup. Make a small test first and verify the recipient and message fields carefully.
Will Word update the letters automatically if I change Excel?
The merge document depends on its recipient source, but an already-created merged document is a separate set of letters. If you change the Excel data, return to the main merge document, confirm or reconnect the source, preview again, and create a new merged document.
Should I choose Letters or Labels?
Choose Letters for a full page or document for each recipient. Choose Labels when you need names or addresses arranged in a label-sheet layout; Word will ask you to select the label product or dimensions before you insert and preview the fields.
