To archive an email in Outlook 365, select the message and choose Archive on the toolbar or ribbon. Outlook moves it out of your Inbox into the Archive folder, where you can still search for it, open it, or move it back. The exact button location depends on whether you use classic Outlook, new Outlook, Outlook on the web, or Outlook for Mac.
Archiving is useful for clearing messages from your Inbox without deleting them. It usually does not reduce your mailbox storage because the message remains in the mailbox. If you need to free space, review large messages and attachments, delete items you no longer need, and empty Deleted Items if appropriate.
What You’ll Need
- An Outlook 365 account and access to its mailbox.
- Outlook open on Windows, Mac, or in a web browser. The steps below cover the common versions.
- For a work or school mailbox, permission to move messages. Your organization may also manage retention or archive settings.
Step-by-Step
- Decide which kind of archive you mean. For everyday Inbox cleanup, use Outlook’s standard Archive command. It moves the selected message to the mailbox’s Archive folder. It does not remove the message from your account. Some organizations provide a separate Online Archive mailbox, sometimes called an In-Place Archive. That is a distinct storage area and may require administrator setup. Do not assume that the standard Archive button sends mail to Online Archive.
- Open the mailbox and locate the email. In Outlook, go to Mail and open your Inbox or the folder containing the message. You can archive from many mail folders, not just the Inbox. If you are uncertain which item you selected, open it or check the sender, subject, and date before moving it.
- Select one or more messages. Click a message once to select it. To select several separate messages in Outlook for Windows, hold Ctrl while clicking each one. To select a continuous range, click the first message, hold Shift, and click the last. On Mac, use Command-click for separate messages and Shift-click for a range. In Outlook on the web, use the checkboxes that appear beside messages, or use the equivalent selection keys supported by your browser and device.
- Archive in classic Outlook for Windows. With the messages selected, open the Home tab and choose Archive in the ribbon. Outlook moves the selected items to the Archive folder. If you do not see the button, maximize the Outlook window or check the ribbon’s overflow options; the available layout can change with window size and ribbon customization. You can also right-click a selected message and look for Archive in the context menu.
- Archive in new Outlook for Windows or Outlook on the web. Select the message, then choose the Archive button on the message toolbar. If the toolbar is condensed, open its more-actions menu and look for Archive. In Outlook on the web, the command is generally available in the toolbar above the message list after you select an email. The message should disappear from the current folder when the move completes.
- Archive in Outlook for Mac. Select the message or messages, then choose Archive on the Outlook toolbar or ribbon. The button may be shown on the Home tab depending on your Outlook for Mac layout. If it is not visible, check the toolbar’s additional actions or right-click the selected message and choose Archive if offered. Mac layouts and labels can vary between legacy and new Outlook, but the destination is the account’s Archive folder.
- Confirm where the email went. Find Archive in the folder pane for the same account. In some layouts, you may need to expand the account or show more folders. Open the folder and check for the subject or sender. If you have multiple accounts connected, make sure you are looking under the same mailbox from which you archived the message.
- Archive a large set carefully. If you are cleaning up months of mail, filter or search for a specific sender, date range, or subject first. Select a small sample and archive it, then check the Archive folder before moving a much larger group. This makes it easier to catch an overly broad selection or an unexpected search scope before many messages are moved.
Outlook may show a brief confirmation or undo option after the move. If you chose the wrong message, use Undo promptly if it is available, or locate the message in Archive and move it to the correct folder. The Archive action is a move, not a permanent deletion.
Common Mistakes
- Expecting Archive to free mailbox space. Standard archiving moves mail to another folder in the same mailbox. It keeps the message, so it generally still counts toward the mailbox’s storage limit. Deleting or moving to a separately configured archive may have different effects, depending on your account and organization.
- Confusing Archive with Online Archive. The Archive folder is normally part of the regular mailbox. Online Archive is a separate feature available for some Microsoft 365 work or school accounts. Use the folder name and account pane to confirm the destination rather than relying on the word archive alone.
- Searching in the wrong account or folder. A message can seem missing when you are viewing a different mailbox, a focused message list, or a search limited to the current folder. Check the account name and widen the search scope.
- Archiving a conversation when you meant one message, or vice versa. Outlook can display related emails as a conversation. Check what is selected before using Archive: depending on the view and selection, you may be moving a single message or multiple items in a thread.
- Assuming archived mail is backed up forever. Archive is not a substitute for a separate backup. Work or school retention rules can apply to archived messages, and administrators may set policies that affect how long mail is kept.
Tips
- Use search to find archived mail. Search for a distinctive sender, subject phrase, or date, and set the search scope to the mailbox or all folders if your Outlook version offers that choice. Opening the Archive folder first can also limit the search to archived items.
- Use Move when you want a different destination. Archive is convenient for routine Inbox cleanup. To sort mail into a project or personal folder, select the message and choose Move, then select the destination folder. This keeps your folder system more specific than placing everything in Archive.
- Keep Inbox rules and archiving separate. A rule can automatically move incoming mail to a chosen folder, but that is not necessarily the same as pressing Archive. Review the rule’s destination and test it with a message so important mail does not bypass the Inbox unexpectedly.
- Use AutoArchive only if you need its specific behavior. In classic Outlook for Windows, AutoArchive settings may be available at File > Options > Advanced > AutoArchive Settings. They can move older items to a separate Outlook Data File (.pst), depending on the account and settings. AutoArchive is different from the standard Archive button and is not available in new Outlook, Outlook on the web, or Outlook for Mac. In a work account, your organization may disable or control it.
- Make a consistent filing habit. Archive mail after handling it, rather than treating the folder as a detailed filing system. Use named folders for items that need ongoing project organization, and leave Archive for messages you may need later but do not need in the Inbox.
Troubleshooting
The Archive button is missing. Confirm that you are in Mail and have selected a message; some toolbar commands appear only after selection. Widen the window, check the ribbon or toolbar overflow, or right-click the message to see available actions. In a managed work account, an administrator may restrict some features.
The message disappeared, but you cannot find it in Archive. Check the Archive folder under the correct email account, then search across all folders or the entire mailbox using a distinctive term. Clear any date, sender, or folder filters. Also inspect Deleted Items and any custom folders if you might have selected a different command or destination.
Archive did not seem to do anything. Wait briefly and check your connection, especially if Outlook is offline or synchronizing. Try refreshing Outlook on the web, or close and reopen the app. If the message remains selected in the same folder, select it again and use Archive, then verify that no sync warning or error appears.
You archived the wrong email. Use the immediate Undo option if Outlook displays one. Otherwise, open Archive, select the message, and choose Move > Inbox, or move it to its original folder. If you cannot remember the original folder, moving it to Inbox is a straightforward way to make it visible again.
Archive or move is blocked. Check whether the mailbox is full, the item is part of a shared mailbox with limited permissions, or your organization has applied a retention or compliance restriction. If other messages move normally but one does not, note any error text and contact your Microsoft 365 administrator or support team.
You need to reduce mailbox storage. Standard Archive usually will not do that because it keeps mail in the mailbox. Review the mailbox storage indicator, sort or search for messages with large attachments, and delete only items you no longer need. For a work account, ask your administrator whether an Online Archive is available and what retention rules apply before moving important records.
Frequently Asked Questions
Where do archived emails go in Outlook 365?
They normally go to the Archive folder within the same mailbox. Check the folder pane under the account you used when archiving. Online Archive, if provided by your organization, is a separate mailbox area.
Does archiving delete an email?
No. The standard Archive command moves the message out of its current folder; it does not delete it. You can open it from Archive or move it back. Retention policies may still control how long your organization keeps it.
Can I archive emails automatically?
You can create rules to move incoming messages to folders. Classic Outlook for Windows also has AutoArchive settings in some configurations, which can move older items to a .pst file. AutoArchive is not the same as the normal Archive command and is not available in new Outlook, Outlook on the web, or Outlook for Mac.
Can I archive all the emails in my Inbox at once?
Yes, select the messages you want and use Archive. Before selecting everything, check whether the list includes filtered or grouped messages and whether you truly want every item moved. For a large mailbox, work in batches and verify the result after the first batch.
Can I get an archived email back into my Inbox?
Yes. Open Archive, select the message, and choose Move > Inbox. If Undo is still offered immediately after archiving, you can use that instead.
Will archived emails still appear in search?
Usually, yes. Search the mailbox or all folders rather than only the Inbox. Search results can depend on your selected scope, filters, and whether Outlook has finished synchronizing the mailbox.
