To add page numbers in Word for Microsoft 365, open Insert > Page Number, choose a position and style, then close the header or footer. Word inserts an automatic page-number field that updates as pages are added or removed. Before you begin, decide whether numbering should appear on every page, whether the first page should be different, and where the numbers should sit.
What You’ll Need
- A document open in the Word desktop app for Microsoft 365 on Windows or Mac. You can also add basic page numbers in Word for the web, though advanced section and numbering controls are easier to manage in the desktop app.
- A rough idea of the desired placement, such as the bottom-right corner or centered in the footer. If you need to hide a number on a cover page or restart numbering later, know which page should be the first numbered page.
Step-by-Step
- Open the document and choose where the numbers belong. Page numbers usually go in a header at the top or a footer at the bottom. A footer is a familiar choice for reports and essays; a header can work well when the bottom margin is reserved for notes. If the document has a title page, decide whether it should show a number before inserting anything. You can change the placement later without retyping the document.
- Open the page-number menu. In Word for Microsoft 365 on Windows, select Insert > Page Number on the ribbon. On Mac, use Insert > Page Number as well; the menu layout may differ slightly by Word build. Choose Top of Page, Bottom of Page, Page Margins, or Current Position. The first three place the number in a header, footer, or margin. Current Position inserts it where the text cursor is, usually while you are editing a header or footer.
- Choose a style from the gallery. Select a plain or decorative example from the menu. The preview shows alignment and any accompanying text or lines. For a simple document, a plain number aligned left, centered, or right is usually easiest to read. Word switches to the header or footer editing area and inserts a field, rather than a number you have to update manually. Avoid choosing a style that conflicts with an existing header design.
- Check the placement and format. Click in the header or footer if you want to adjust the number’s alignment, font, size, or color. The normal Home tab formatting controls can be used while the header or footer is active. You can also add text such as a short document title, but keep it separate from the page-number field. To change from Arabic numerals to another available format, select Insert > Page Number > Format Page Numbers on Windows, then choose a format under Number format. Mac labels can vary slightly; look for the page-number formatting option in the Insert menu or the Header & Footer controls.
- Hide the number on the first page if needed. Double-click the header or footer to open its editing controls. On Windows, select the Header & Footer tab and check Different First Page. On Mac, open the header or footer and enable the corresponding Different First Page option in the Header & Footer controls. This leaves the first page’s header or footer separate, so you can remove its number without removing numbers from the following pages. It does not, by itself, make the second page display number 1; it only hides the first page’s number.
- Start numbering on page two as 1, when required. If a cover page should be unnumbered and the next page should display 1, first create a separate section after the cover page. Place the cursor at the end of the cover page, then choose Layout > Breaks > Next Page under Section Breaks. In the new section, open the header or footer and turn off Link to Previous on the Header & Footer tab. Then choose Insert > Page Number > Format Page Numbers, select Start at, and enter 1. Remove the number from the cover page if it remains visible. This arrangement separates the cover page from the numbered section.
- Use sections for more complex numbering. A document may need Roman numerals for a preface and regular numbers for the main text, or a new count after an appendix. Add a section break where the numbering pattern changes using Layout > Breaks > Next Page. Open the header or footer in the new section and switch off Link to Previous before changing its numbering format or starting number. Header and footer links are managed separately, so unlink the one that contains the page number. Apply the desired format through Format Page Numbers. Section breaks affect layout, so check for unexpected blank pages after adding one.
- Close the editing area and review the pages. Select Close Header and Footer, or double-click in the main body of the document. Scroll through several pages, including the first page, the page after any section break, and the last page. Confirm the numbers appear in the intended position and follow the right sequence. If you are preparing a file for printing, use File > Print to preview the layout before printing or saving a PDF.
Common Mistakes
- Typing page numbers instead of inserting a field. A typed number stays the same on every page and will not respond correctly when the document changes. Use the Page Number gallery so Word maintains the sequence.
- Removing all numbers when trying to remove one. Headers and footers can be connected across pages or sections. If you delete a number from a linked header, it may disappear throughout that linked section. Use Different First Page for a single cover page, or unlink a section before making a section-specific change.
- Confusing a hidden number with a restarted count. Different First Page hides the first page’s number but usually leaves the next page numbered 2. To make the next page show 1, use a section break and set the new section to start at 1.
- Adding a page break when a section break is needed. A page break moves text to a new page but does not create independent headers, footers, or numbering. Use a section break when the format or numbering must change.
- Changing the wrong section. A document with several sections may have separate header and footer settings. Check the section label in the editing area, and confirm Link to Previous is off only where you intend to make an independent change.
Tips
- Keep page numbers consistent in position, font, and size. Simple formatting is generally easier to scan and less likely to interfere with the body text.
- Use Print Preview to catch numbers that are too close to the paper edge or hidden by the printer’s unprintable area. If necessary, adjust the header or footer distance from the page edge in the layout controls.
- If you add a table of contents, cover page, or other front matter, set up the section structure before finalizing page numbering. It is easier to review the sequence after the document’s major pages are in place.
- When adding text beside a number, avoid inserting extra spaces to force alignment. Use the header or footer’s alignment controls or tab stops so the layout stays stable when the page number gains a digit.
- Save the document after making substantial section changes. In Word for the web, open the file in the desktop app if you need precise control over section links, different numbering formats, or a complicated restart.
Troubleshooting
The number appears on the cover page. Open the header or footer and enable Different First Page. If the second page must begin at 1, also create a section after the cover page, unlink its header or footer, and set the new section’s starting number to 1.
Every page shows the same number. The number may have been typed as ordinary text rather than inserted from the Page Number gallery. Delete the repeated text and insert an automatic page number. If the inserted field looks stale, select the document and update fields with Ctrl+A, then F9 on Windows. On Mac, select the relevant field and use the update command available in Word’s context menu; keyboard behavior can vary by keyboard and macOS settings.
Changing one section changes another. Double-click the affected header or footer and inspect Link to Previous. Turn it off in the section you want to edit independently. If a number still changes elsewhere, check whether the header and footer are linked separately and whether another section break is missing.
The number disappears, restarts unexpectedly, or leaves a blank page. Review the section breaks and the Start at or Continue from previous section setting under Format Page Numbers. Turn on formatting marks from Home > Paragraph > Show/Hide to see breaks and extra paragraph marks. Remove only the break that is not needed: deleting a section break can also change the formatting of the section before it. Check Print Preview after correcting the layout.
The number is cut off when printed. Move it farther inside the page by adjusting the footer or header position, or review the page margins. The on-screen page boundary does not guarantee that every printer can print to the edge.
Frequently Asked Questions
How do I add page numbers to all pages in Word 365?
Choose Insert > Page Number, select a location such as Bottom of Page, and choose a style. Word adds a page-number field to the document’s header or footer.
How do I start page numbering on the second page?
For a hidden number on the first page, enable Different First Page. If page two must display 1 rather than 2, add a Next Page section break after page one, unlink the new section, and set its numbering to Start at 1.
Can I use Roman numerals for some pages and regular numbers for the rest?
Yes. Put the parts in separate sections, turn off Link to Previous for the section whose numbering you want to change, and select the required number format in Format Page Numbers.
How do I remove page numbers from a Word document?
Choose Insert > Page Number > Remove Page Numbers when available in the desktop app. If numbers remain in a special section, inspect its header or footer and remove the field there. Review all sections because an unlinked section may need separate cleanup.
Do page numbers update automatically when I add pages?
Yes. Numbers inserted through Word’s page-number command are fields and ordinarily update as the document changes. They are different from numbers typed as plain text, which do not change with the page sequence.
Can I add page numbers in Word for the web?
Word for the web supports basic page numbering through the Insert tab’s page-number controls. For advanced layouts, section-specific numbering, or more detailed header and footer settings, open the document in Word for Microsoft 365 on Windows or Mac.
