In Excel for Microsoft 365 on Windows, press Alt+P, B, I to insert a page break: press the keys in sequence, not all at once. You can also choose Page Layout > Breaks > Insert Page Break; the selected cell determines where the break goes.
What the shortcut does
Excel’s page-break command controls how a worksheet is divided into pages when printed or saved as a PDF. It does not add a visible divider to the worksheet’s data, change the cell contents, or force a new screen page while you scroll. Instead, it places a manual boundary in the print layout.
The Windows sequence uses ribbon KeyTips. Press and release Alt to show KeyTips, then press P for the Page Layout tab, B for Breaks, and I for Insert Page Break. The letters are pressed one after another. If your Excel installation displays different KeyTips, follow the letters shown on screen; ribbon KeyTips can vary with interface configuration or updates.
The command is available when a worksheet is active. It is useful when Excel’s automatic pagination would split a table, report section, or group of rows at an awkward point. A manual break tells Excel where you want a printed page to start, although other print settings can still affect the final layout.
Where Excel places a break
The position depends on what you have selected when you run the command. With a single cell selected, Excel inserts a horizontal page break above that cell’s row and a vertical page break to the left of its column. For example, selecting C5 and inserting a break creates a new page boundary before row 5 and before column C. That can divide the printout both vertically and horizontally.
If you want only one direction of break, select the corresponding entire row or column first:
- Horizontal only: Select the row where the next printed page should begin, then choose Insert Page Break. The break is placed above the selected row.
- Vertical only: Select the column where the next printed page should begin, then choose Insert Page Break. The break is placed to the left of the selected column.
- Both directions: Select a cell at the intended crossing point and insert the break. Excel can establish both a row and a column boundary.
For instance, to start a new printed page above row 25 without splitting the worksheet into extra columns, click the row 25 heading and insert the break. Selecting A25 as an ordinary cell instead can also insert a vertical break to the left of column A, so selecting the whole row makes your intention clearer.
Use the ribbon instead of the shortcut
The ribbon provides the same command and is often easier if you do not remember the KeyTips. First select the cell, row, or column that establishes the boundary. Then open Page Layout > Breaks > Insert Page Break. Excel applies the break to the active worksheet.
If you are unsure whether the selection will create one break or two, choose the row or column heading rather than a cell. You can then inspect the result in Page Break Preview before printing. The ribbon path is also useful when a keyboard shortcut is intercepted by another tool or when you are working on a computer with a different KeyTips configuration.
See page boundaries in the worksheet
To inspect breaks, select View > Page Break Preview. This view shows how the sheet is divided for printing. In general, solid blue lines indicate manual page breaks and dashed lines indicate automatic breaks, though the view and line appearance can depend on the current layout. You can drag a boundary in Page Break Preview to adjust where a page ends.
Return to View > Normal when you are done arranging the print layout. Page Break Preview is a layout aid; it does not alter the values or formulas in the cells. Depending on the workbook and Excel settings, page-break indicators may also appear on the worksheet after printing or opening print preview. Changing views can make those indicators easier to inspect, but it does not remove the breaks themselves.
Before printing, open File > Print to check the pages as Excel will produce them. The preview can reveal a heading stranded at the bottom of a page, columns split across pages, or a table that spans more sheets than expected. If the preview does not match what you intended, return to the worksheet and adjust the breaks or print settings.
Manual breaks versus automatic breaks
Excel places automatic page breaks according to the printable area, paper size, margins, orientation, scaling, and the dimensions of the content. These boundaries can move when you change those settings or edit the worksheet. Manual breaks are the boundaries you add yourself to influence where a new page starts.
Manual does not mean independent of every other print setting. For example, a change to paper size or scaling can alter the printable layout, and an instruction to fit a sheet on a particular number of pages can affect pagination. If a manual break seems not to land where expected, check the print preview and the scaling options in the Page Layout tab before adding more breaks.
A page break is also different from a print area. A print area determines which cells Excel prints; a page break divides the printed area into pages. You can set a print area when you want to exclude notes or unused columns, and use breaks to control how the included material is divided. These controls solve different problems and may be used together.
Remove or reset page breaks
If a break is in the wrong place, select the cell immediately below a horizontal break or immediately to the right of a vertical break, then choose Page Layout > Breaks > Remove Page Break. When the unwanted boundary is at the intersection of a horizontal and vertical break, selecting a cell below and to the right can remove the relevant breaks. Check Page Break Preview afterward to confirm the result.
To clear the manual breaks in a worksheet and let Excel paginate automatically again, choose Page Layout > Breaks > Reset All Page Breaks. This resets the page breaks for the active sheet; it is not the same as clearing cell contents or resetting the worksheet’s formatting. If you only need to correct one boundary, Remove Page Break is more targeted than resetting all of them.
Mac and Excel for the web
The sequence Alt+P, B, I is for Excel on Windows and should not be treated as a Mac shortcut. On Excel for Mac, use the ribbon command Page Layout > Breaks > Insert Page Break where it is available. Ribbon layout and KeyTips are not identical across operating systems, so the Windows sequence should not be assumed to work on a Mac.
Excel for the web has a more limited set of print-layout controls than the desktop app. If you need to insert, move, or reset manual page breaks and the browser interface does not offer the required command, open the workbook in the Excel desktop app and make the change there. Then use print preview to verify the output. This is especially important for a report whose page divisions must be consistent.
Common problems and what to check
- The break appears in the wrong direction: You may have selected a cell rather than a whole row or column. Select the row heading for a horizontal-only break or the column heading for a vertical-only break.
- The page still splits at an unexpected point: Inspect the layout in Page Break Preview and check paper size, orientation, margins, and scaling. An automatic break or a fit-to-page setting may affect the result.
- The command is unavailable or has no obvious effect: Confirm that a worksheet, rather than a chart sheet or another workbook object, is active. Then check whether the selection is at the break location you intend and whether you are using the desktop version.
- The worksheet looks unchanged: That is normal. A page break controls printing, not the worksheet’s everyday grid display. Use Page Break Preview or File > Print to see its effect.
- Too many pages appear after inserting a break: A cell selection may have introduced both a horizontal and vertical break. Reset all breaks or remove the extra one, then add the intended boundary using a whole-row or whole-column selection.
Frequently Asked Questions
What is the Excel shortcut to insert a page break?
In Excel for Microsoft 365 on Windows, press Alt+P, then B, then I. This is a sequence of ribbon KeyTips, not a three-key combination held down together.
How do I insert a horizontal page break only?
Select the row where the next printed page should start, then choose Page Layout > Breaks > Insert Page Break. Excel places the boundary above the selected row.
How do I insert a vertical page break only?
Select the column where the next printed page should start, then insert the break. Excel places it to the left of that column.
How do I remove a page break in Excel?
Select the cell below a horizontal break or to the right of a vertical break and choose Page Layout > Breaks > Remove Page Break. Choose Reset All Page Breaks to clear manual breaks from the active sheet.
Does inserting a page break change the worksheet data?
No. It changes how Excel divides the sheet for printing or PDF output; it does not insert a worksheet row, move cell values, or change formulas.
Check the printed result
For a reliable result, insert the break using the right selection, inspect it in Page Break Preview, and confirm the pages in File > Print. Remember that a cell selection can create both horizontal and vertical boundaries, while selecting a full row or column limits the break to one direction. If pagination changes later, review the print settings as well as the manual breaks.
