To add a shared mailbox in Outlook on an iPhone or Android phone, open Outlook, tap your profile or account icon, open Settings, select your work or school account, and choose Add Shared Mailbox. Enter the mailbox address; you must already have permission to access it through your organization.
What a shared mailbox is
A shared mailbox is an organizational email address that several authorized people can use, such as support@company.com or invoices@company.com. Its messages and folders belong to the mailbox rather than to one employee, which lets a team read and manage the same correspondence. In Outlook mobile, it is usually added beneath the work or school account that has permission to use it.
A shared mailbox is not normally a separate account that you sign into with its own password. Instead, your organization grants your account access. That distinction matters: knowing the mailbox address is not enough to add it, and trying to sign in as the shared address usually will not work. The organization’s Microsoft 365 or Exchange administrator manages access.
What you need before adding it
Check that you are signed in to Outlook mobile with the work or school account that was given access. Your organization must use a supported Microsoft Exchange mailbox setup, and an administrator or mailbox owner must grant the appropriate permissions. If you use several accounts in Outlook, make sure you select the account that is authorized; access granted to one account does not automatically apply to another.
- Full Access lets you open and manage the mailbox and its messages. It does not, by itself, grant permission to send mail as that address.
- Send As lets you send a message that appears to come directly from the shared address.
- Send on Behalf lets you send for the mailbox while showing that you sent the message on its behalf.
These permissions can be assigned separately. If you only need to read and organize messages, Full Access may be sufficient. If you also need to reply using the team address, ask the administrator whether you have the right sending permission too.
Add the mailbox in Outlook for iOS or Android
- Open the Outlook app and confirm that your authorized work or school account is signed in.
- Tap your profile picture, initials, or account icon near the top of the screen to open the account panel.
- Tap the Settings gear.
- Choose the work or school account that has access to the shared mailbox. This step is important if Outlook contains multiple accounts.
- Tap Add Shared Mailbox. Depending on the app version or organization setup, the wording or location may vary slightly.
- Enter the shared mailbox’s full email address, then confirm the selection. If prompted, choose the correct mailbox from the results.
The mailbox should then appear in Outlook’s account or folder list. It may take a short time for permissions or folders to become available. If Outlook reports that it cannot find the mailbox, verify the address and access with your administrator before repeatedly trying different passwords; a shared mailbox generally does not have a separate password for members to use.
Where to find it and how to use it
Tap the profile or account icon to open the account list, then select the shared mailbox or expand its entry to view its folders. The exact layout can differ between iOS, Android, and app versions. Depending on how the mailbox is configured, you may see the Inbox, Sent Items, Drafts, and other folders. You can open a message, mark it, move it, or reply just as you would with other Outlook mail, subject to your permissions.
For example, a staff member with access to support@company.com can open the shared Inbox on a phone, read a customer’s question, and flag it for follow-up. If the team uses folders to assign work, the member may also move the message into the appropriate folder. Changes made in a shared mailbox are generally visible to other people who have access, so moving or deleting a message affects the team’s shared view, not just the individual phone.
Notifications may not behave exactly like notifications for your personal work inbox. Outlook settings, mailbox rules, and the phone’s notification permissions can affect which messages produce alerts. If the mailbox is busy, consider whether you need alerts for every new message or whether checking it at set times is more practical.
Send a message from the shared address
Adding the mailbox does not necessarily mean you can send from it. Start a new message in Outlook and look for the From field. If it is hidden, use the message’s additional options to show it; the available controls vary by app version. Tap the sender address and select the shared mailbox if it is offered. If the shared address does not appear, you may lack Send As or Send on Behalf permission, or the permission may not have finished applying.
Before sending a work-critical reply, check the From address in the draft. A message can otherwise go out from your personal work account even though you opened the shared mailbox first. The recipient display also depends on the permission: Send As presents the shared address as the sender, while Send on Behalf identifies the individual as acting for the mailbox. Your organization may have policies about which option team members should use.
Sent-message handling can also differ by mailbox configuration. Some organizations configure messages sent from a shared mailbox to be saved in its Sent Items; in other setups, a sent copy may be associated with the member’s own mailbox. If teammates cannot see a reply you sent, ask the administrator to check the shared mailbox’s sent-item settings rather than assuming the phone failed to send it.
Permissions, privacy, and account security
Use your own organizational sign-in and follow your employer’s device and data policies. Do not share your password with colleagues to give them mailbox access. The administrator should grant each person an individual permission, which can be removed when someone changes roles or leaves the team. This also makes mailbox activity easier to manage under the organization’s policies.
A shared mailbox may contain customer, employee, or other sensitive information. Use a phone protected by a passcode or biometric lock, keep Outlook and the operating system up to date, and report a lost work device according to your organization’s procedure. If you remove your work account or lose access to it, your access to the shared mailbox may stop as well.
Common problems and fixes
- Add Shared Mailbox is missing: Update Outlook from the official app store, then check the Settings for the authorized work or school account. The feature may not be available for the account type or setup you are using. Your administrator can confirm whether the mailbox is hosted and configured in a way the mobile app supports.
- Outlook says you do not have access: Ask the mailbox owner or administrator to verify that permission was granted to the exact account signed in on your phone. If access was just added, allow time for it to take effect, then close and reopen Outlook. Do not try to solve a permission issue by signing in with the shared address.
- The mailbox appears but has no messages: Check that you selected the right mailbox and folder, and allow Outlook to sync. If messages remain missing, compare with Outlook on the web or ask an administrator about folder permissions, retention rules, or mailbox configuration.
- You can read mail but cannot send from the address: Reading access and sending rights are separate. Request Send As or Send on Behalf as appropriate, and check the From address in the draft before sending.
- Messages or folders look different from a colleague’s: Confirm that both people opened the same mailbox and folder. Rules, deleted items, synchronization delays, and different permissions can produce different views. Avoid deleting or moving a message until you know whether the change affects the shared mailbox for everyone.
Does adding one cost extra?
There is generally no separate Outlook mobile fee just for adding a shared mailbox. Licensing is managed by the organization, and Microsoft 365 licensing requirements can depend on the mailbox’s size and features as well as the licenses assigned to people who access it. For example, larger mailboxes or certain archiving and compliance features can require additional licensing. Ask your Microsoft 365 administrator about your organization’s specific setup; the app itself cannot determine whether the organization’s licensing is compliant.
Frequently Asked Questions
Can I add a shared mailbox to Outlook on my phone?
Yes. In Outlook for iOS or Android, open Settings, select the authorized work or school account, and choose Add Shared Mailbox. You must have permission to access it.
Can I add a shared mailbox without a password?
Usually, yes. You sign in with your own organizational account, and Outlook uses the access your organization granted. A shared mailbox normally is not intended for members to sign into directly with a separate password.
Why can’t I see Add Shared Mailbox in Outlook?
Check that Outlook is current and that you opened Settings for the correct work or school account. If the option is still absent, your account or organization’s mailbox setup may not support that route; contact your administrator.
Can I send email from a shared mailbox on my phone?
Yes, if you have the relevant Send As or Send on Behalf permission. Select the shared address in the From field and verify it is the sender before sending.
Can I add a shared mailbox to the Outlook app with a personal account?
A shared mailbox provided by an employer or school is generally accessed through the authorized organizational account, not by adding it as a personal Outlook.com account. Ask the organization’s administrator if you are unsure which account to use.
