To get rid of mail merge in Word, first save a copy, then choose what should happen to the merge fields: switch the file back to a normal document, turn fields into the currently displayed text, or create a separate document containing the merged records. These choices do different things. In Word for Microsoft 365 on Windows, the main controls are on the Mailings tab; the current Word for Mac uses similar controls, though ribbon placement and shortcuts can differ.
What You’ll Need
- The Word document connected to the mail merge, if you want to change its merge settings or remove fields.
- Access to the recipient list if you plan to preview records or create a finished document for every recipient. The list may be an Excel workbook, a Word list, or another supported data source.
- A saved backup of the original document. Keep the data source too if you may need to run the merge again.
Step-by-Step
- Decide what you mean by getting rid of mail merge. If you only want to stop this document acting as a merge template, change its merge type. If you want to remove the visible merge fields, delete them or replace them with text. If you need a regular document containing every recipient’s personalized copy, finish the merge into a new document. If you are unsure, make a copy first and try the least destructive option on that copy.
- Save a working copy before editing. In Word for Windows, choose File > Save As, select a folder, give the copy a different name, and select Save. On a Mac, use File > Save As; if Word shows a Save a Copy command instead, use it to preserve the original. Keep the file as a Word document. This matters because deleting fields or changing the merge type may not be easy to reverse after you close the file.
- Stop the document being set up as a mail-merge template. Open the copy and select the Mailings tab. Choose Start Mail Merge, then select Normal Word Document if that option appears in the menu. This changes the document’s merge setup; it does not send anything, and it does not delete the separate Excel or other recipient-list file. Check the document afterward: merge fields may still be present in the text and need separate attention. Current Word for Mac has a Mailings tab too, but the menu layout can differ; look under Start Mail Merge for the normal-document option. If it is not shown, use the field-removal or finished-document method below.
- Remove a merge field you no longer want. In the document, a field often appears as a label enclosed in chevrons, such as «First_Name» or «Address». Click the field and select the whole field, including the chevrons, then press Delete or Backspace. If it is hard to select, click inside it and use the arrow keys to move through the field, checking that you have selected only that field before deleting it. Repeat for each unwanted field. Check the surrounding spaces, punctuation, and line breaks afterward so you do not leave an extra comma or an empty line in a letter or address block.
- Keep the displayed value but make it ordinary text. If you want to keep the value shown for the current previewed recipient, select one merge field and unlink it. On Windows, press Ctrl+Shift+F9; on Mac, press Command+Shift+F9. The field becomes plain text using the value currently displayed in the document. For example, if Preview Results is showing Ana Lopez, unlinking the name field keeps Ana Lopez, not a live connection to the recipient list. Repeat field by field and confirm that Word is previewing the right person before you unlink. Do not select the whole document and unlink everything unless you intend to convert every field, including other Word fields such as page numbers, to fixed text.
- Create a regular document with all personalized copies. If the goal is to preserve a copy for each person, do not simply unlink the template fields: that would keep only the currently displayed record. Instead, open Mailings > Finish & Merge > Edit Individual Documents. In the dialog, choose All to include every recipient, or specify the recipient range you need, then select OK. Word creates a new document with the merge results, usually placing the personalized records one after another. Save this new document with a clear name. The original merge template remains available separately, so you can keep or discard it after checking the results.
- Check the recipient selection before finishing. If you only want certain people in the output, use Mailings > Edit Recipient List to review the selected records, then finish the merge. Check that the right recipients are included and that any filters or checkboxes are intentional. In the template, select Mailings > Preview Results and move between records with the navigation buttons to confirm that names, addresses, and other fields populate correctly. If you want only one person’s copy, note the current record number and choose the matching record range in the Edit Individual Documents dialog rather than choosing All.
- Review and save the result. In the new merged document, inspect the first, middle, and last records, as well as any pages with long names or addresses. Look for blank lines, missing punctuation, unexpected blank pages, or text that has overflowed. Save the completed file separately from the template. If the output is correct and you no longer need the merge template, you can close it without saving changes or delete it later; deleting the template does not delete the recipient list unless you remove that file separately.
Common Mistakes
Deleting the template before saving the finished output: A mail-merge template is not the same as the personalized document. If you need the letters for every recipient, use Finish & Merge > Edit Individual Documents and save the new file before removing or replacing the template.
Unlinking fields while the wrong recipient is previewed: Unlinking a field turns its current displayed result into fixed text. If the active preview is the first person in the list, every field you unlink in that template will keep that person’s displayed value, not a different value for each recipient.
Using Ctrl+A before unlinking: Ctrl+A selects the document text, and Ctrl+Shift+F9 can convert other fields as well as merge fields. Page numbers, dates, and other automatically updating content may become static. Select and unlink only the specific merge fields you mean to change.
Assuming Normal Word Document removes every field: Changing the merge type addresses the setup, but inspect the document for leftover merge-field names. Conversely, removing a field does not necessarily remove the recipient-list file from your computer. They are separate tasks.
Overwriting the only copy: A merge can be difficult to reconstruct if the data source or recipient selection has changed. Keep the original template and recipient list until you have verified and saved the document you actually need.
Tips
- Use Preview Results before making a field into text. The preview tells you which recipient’s value will be kept when you unlink that field.
- For an ordinary document containing many people’s letters, use Edit Individual Documents rather than copying and pasting each preview separately. It creates the output from the selected records in one operation.
- If you only need to stop the current merge temporarily, save the template and close it. You do not have to delete fields or the recipient list; reopening the template later lets you continue working with the merge.
- After producing the finished document, use Save As to give it a name that distinguishes it from the merge template, such as Letters – Final. Keep the template under a separate name if you may send another batch later.
- For a short document with just a few fields, deleting the fields individually gives you the most control over the final wording. Read each sentence aloud or inspect it carefully to catch leftover commas, spaces, or labels.
Troubleshooting
The Mailings tab or Start Mail Merge option is missing: Make sure you have opened the file in the desktop version of Word, not just a preview in a file browser. In Word for Windows, look across the ribbon for Mailings; on Mac, check the ribbon tabs and the app window width, since a narrow window can hide or condense controls. If you are using Word for the web and cannot find the needed merge controls, open the file in the Word desktop app.
The merge fields still appear after choosing Normal Word Document: That can happen because changing the merge setup is not the same as removing every field from the text. Delete the unwanted fields individually, or unlink them if you want to keep the currently displayed values. If the document needs a copy for every recipient, create the merged output with Edit Individual Documents instead.
The output contains «First_Name» instead of a person’s name: The merge may not have populated the field, or the source column may be missing or mismatched. Reopen the template, check Mailings > Select Recipients and Edit Recipient List, then confirm the column names and preview several records. Correct the source or field mapping and create the output again.
Only one person’s details appear in the completed document: You may have unlinked fields in the template rather than generating all merge results, or you may have selected a single record in the finish dialog. Return to the original template or a fresh copy and choose Mailings > Finish & Merge > Edit Individual Documents, then select All if you need every selected recipient.
You cannot undo a change: If the file is still open, try Undo immediately. If you already saved or closed it, reopen the backup or original. Word’s Undo history is not a substitute for a separate copy, especially after closing the document.
Frequently Asked Questions
Does changing to Normal Word Document delete my Excel recipient list?
No. The recipient list is a separate file. Changing the Word document’s merge setup does not erase that workbook, so remove it separately only if you are sure you no longer need it.
How do I remove mail merge but keep the current recipient’s details?
Preview the intended recipient, then unlink each merge field with Ctrl+Shift+F9 on Windows or Command+Shift+F9 on Mac. Check the result because each field becomes fixed text for the displayed record.
How do I keep every personalized letter but stop using mail merge?
Choose Mailings > Finish & Merge > Edit Individual Documents, select All, and save the new document. It contains the merged copies as regular document content, while the original template can remain separate.
Can I remove the recipient list without removing the merge fields?
You can change or clear the merge setup, but the exact controls vary by Word version. Choose Start Mail Merge > Normal Word Document if available, then save a separate copy and check it. The field names may remain in the document until you delete or convert them.
Can I undo a mail-merge email after sending it?
Word cannot reliably take back email messages already delivered through a completed merge. If you have not sent them yet, stop before selecting the send option and review the recipient list and message. If messages have gone out, contact the recipients or your organization’s email administrator promptly.
