To see archived emails in Outlook, open the Archive folder in the folder list for the account where the messages were archived. In Outlook for Windows, Mac, the web, and mobile, archiving usually moves a message out of the Inbox into that folder; it does not delete it. If you mean a separate Online Archive mailbox, look for that separately because it is a different feature.
What You’ll Need
- Access to the Outlook account that received or stored the messages.
- An internet connection if the account is online, or access to the computer and Outlook profile where a local archive file is stored.
- The Outlook app or a browser signed in to the correct account. If you have several accounts, note which one you want to check.
Step-by-Step
- Open Outlook and check the account. Start Outlook for Windows or Mac, go to Outlook on the web, or open the Outlook mobile app. If Outlook shows more than one mailbox, confirm that the account you expect is selected. The Archive folder belongs to a particular mailbox, so an archived message may not appear in the folder for another account.
- Expand the folder list. In Outlook for Windows or Mac, look in the navigation or folder pane on the left. If it is hidden, use the view or navigation controls to show the folder pane. In Outlook on the web, expand the left-hand folder list using its menu or folder-list control. In the mobile app, open the account or navigation menu to see the mailbox folders. The exact control can vary with window size and app version.
- Find the Archive folder under the right mailbox. Look for a folder named Archive among the account’s standard folders. In the new Outlook for Windows, the web app, and classic Outlook, it may be visible directly or under a collapsed folder list such as More. Expand the account or list rather than choosing a similarly named folder under another mailbox. If you have multiple accounts, check each account’s folder tree.
- Select Archive to view its messages. Click or tap the folder name. Its contents should appear in the message list; select a message to read it. If there are many messages, use the list’s sort or search controls to narrow the results. Sorting by date can help locate recent items, while searching by sender or subject can help find an older one.
- Check a separate Online Archive if your organization provides one. Some Microsoft 365 work or school accounts have an additional mailbox called Online Archive, In-Place Archive, or a name that includes the account holder’s name. Expand that mailbox in the folder pane and open the relevant folder inside it. This is not the same as the ordinary Archive folder used by the Archive button. If you do not see a separate archive mailbox, your account may not have the feature enabled; ask your Microsoft 365 administrator.
- Search if the folder is hard to find. Use Outlook’s search box and enter a distinctive phrase from the message, a sender’s address, or a subject word. Set the search scope to include all folders or the whole mailbox if that option is available, rather than searching only the current folder. Search controls differ between Outlook versions, so check the scope selector near the search field. Open a result and check its folder or location when Outlook displays that information.
- Move an archived message back to the Inbox only if you want to. Viewing a message does not restore it to the Inbox. To move one, select it and use Move or drag it to the Inbox, depending on your Outlook version. In classic Outlook for Windows, the ribbon’s Home tab includes message actions such as Move; in the new Outlook and Outlook on the web, select the message and use the toolbar’s Move control. On Mac or mobile, use the message action menu and choose the destination folder. The message will then appear in the Inbox again.
- Confirm where a message went after archiving. If you just used the Archive button, return to the mailbox’s ordinary Archive folder and refresh the list if necessary. On a phone, pull down on the message list to refresh. If it is not there, search all folders and confirm the correct account. It may have been moved to a different folder, deleted, or handled by a separate retention or archive policy.
Common Mistakes
- Confusing Archive with Online Archive. The ordinary Archive folder is where Outlook’s Archive action normally moves messages. Online Archive is an additional mailbox that may be available to some work or school accounts. Check both only when appropriate; they are not interchangeable.
- Looking in the wrong account. A message archived in a personal Outlook.com account will not show in the Archive folder of a work account, even if both accounts are open in the same app. Expand each mailbox and search the account that received the original email.
- Assuming archive means delete. Archiving generally removes a message from the Inbox while keeping it in the mailbox. The Deleted Items folder is separate. Do not empty Deleted Items or remove a message just because it is not in the Inbox.
- Searching only the current folder. A search restricted to Inbox will not necessarily find a message stored in Archive. Widen the scope to the whole mailbox or all folders before deciding that the message is missing.
- Expecting every message to be in Archive. Some users manually move mail to custom folders, and organization policies may move older messages to a separate archive. Look at search results and the message’s folder location rather than relying on its age alone.
Tips
- Use a distinctive search term. A full sender address, an unusual phrase, or part of the subject usually works better than a broad term such as “invoice.” If the first search returns too much, add another clue, such as an approximate date or recipient.
- Check the folder path before moving anything. If a result appears in an unexpected place, note the account and folder shown in its details or message list. This helps distinguish the ordinary Archive folder from a custom folder or Online Archive.
- Keep the folder pane available. If the Archive folder is used often, leave the folder list expanded or add the folder to Favorites if your Outlook version offers that option. This makes it faster to open without changing where messages are stored.
- Use the Archive button with care. In classic Outlook for Windows, the button is on the Home tab. The new Outlook, Outlook on the web, and Mac have similar Archive actions, though toolbar placement can differ. Selecting a message and clicking Archive moves it; it does not simply mark it for later.
- Allow time for online mail to sync. If you are using Outlook on another device, an archived message may take a short time to appear there. Refresh the folder or reconnect to the internet before repeating the action, which could create confusion about which copy you are viewing.
Troubleshooting
The Archive folder is not visible. Expand the folder pane, the account name, and any collapsed section such as More. Confirm that you are viewing the mailbox’s folders rather than Favorites or a search-results view. If you use a work account and mean Online Archive, ask your administrator whether that mailbox is available and whether your account has permission to access it.
The folder is visible but appears empty. First check that the correct account is selected and that no list filter is hiding messages. Clear any search text or filter, then refresh the folder. Search the whole mailbox for a sender or subject you remember. If the message appears in search, open it and inspect its folder location; it may be in a custom folder or another archive rather than the standard Archive folder.
Search does not find a message you expect. Widen the search scope from the current folder to all folders or the entire mailbox, and try a shorter or more distinctive search term. Check spelling and search a known sender address if possible. For older messages, include the Online Archive if your account has one. A work or school account may also have retention rules that affect how long messages remain available; contact the administrator if the message is important and cannot be located.
Outlook is offline or not syncing. In Outlook for Windows, check the connection status shown in the app and reconnect if it indicates that Outlook is working offline. For web or mobile, confirm internet access, then refresh or reopen the folder. Avoid repeatedly archiving the same message while synchronization is pending. If the message is visible on one device but not another, check that both apps are signed in to the same account and allow them to sync.
You used Archive but cannot tell where the message went. Search all folders for the subject, then check the message’s account and location. If the action was actually Delete, look in Deleted Items or Trash, where available. If the message was moved to a local Outlook data file or a custom folder, it may not appear in the ordinary mailbox Archive. For a company mailbox, an administrator can help identify policies or data files that affect the message.
Frequently Asked Questions
Does archiving an email delete it in Outlook?
No. The standard Archive action moves the message out of the Inbox and into the mailbox’s Archive folder. It is different from deleting a message, which puts it in Deleted Items or Trash. Organization retention settings can affect how long mail is kept, so ask your administrator about managed work mail.
Where is the Archive folder in Outlook for Windows?
In both classic and new Outlook for Windows, look in the folder pane under the relevant mailbox. Expand the folder list if it is collapsed. The folder may be below the visible portion of the list or grouped under a control such as More. If you are looking for an Online Archive mailbox, check for a separate mailbox entry.
Can I see archived emails in Outlook on my phone?
Yes. Open the Outlook mobile app, select the correct account, open its folder list, and tap Archive. If you cannot see the folder, expand the account’s folders or use search with the mailbox scope set as broadly as the app allows. The standard Archive folder should sync with the same online mailbox on your other devices.
What is the difference between Archive and Online Archive?
Archive is usually a regular folder in your mailbox where the Archive button moves messages. Online Archive is a separate mailbox feature commonly managed by an organization, often for long-term storage. It may have its own folders and may not be available for personal accounts. If it is missing from a work account, contact your administrator.
Can I restore an archived email to my Inbox?
Yes. Select the message in Archive, choose Move, and select Inbox. The names and locations of these controls vary by device, but the message can usually be moved like any other email. Moving it back does not create a second copy; it changes the folder where the message is stored.
