To remove an email from Outlook’s regular Archive folder, open Archive, select the message, and use Move to put it in your Inbox or another folder. This moves the message; it does not delete it. Before you start, make sure you are looking in the correct archive: Outlook’s Archive folder is different from a work or school Online Archive mailbox and from an archive file created by AutoArchive.
The steps below cover Outlook for Microsoft 365 on Windows, new Outlook, Outlook on the web, and Outlook for Mac. Labels can vary slightly as Microsoft updates the apps, but the key action is to move the selected message to a destination folder.
What You’ll Need
- Access to the Outlook account or mailbox that contains the archived message.
- The name or approximate subject, sender, or date of the email if you need to search for it.
- A destination folder, such as Inbox, if you do not want to leave the message in Archive.
Step-by-Step
-
Open the right mailbox. In Outlook, expand the folder list for the account where the email was archived. If the folder list is collapsed, select the navigation or folder-list button to show it. If you have several accounts, check the account name before proceeding; each account has its own Archive folder.
-
Open Archive. Select the folder named Archive beneath the mailbox. In Outlook on the web or new Outlook, it may appear in the left folder pane, sometimes under a collapsed folder list. Do not confuse it with Online Archive, which is a separate archive mailbox that may be provided by an organization.
-
Find the message. Browse the message list, or search by a distinctive sender, subject phrase, or date. If you search, set the search scope to the mailbox or folder that contains the message, if that option is shown. Search results may include messages from other folders, so check the folder or location shown for a result before moving it.
-
Select the email or emails. Select one message to move a single item. To select several adjacent messages, select the first, hold Shift, and select the last. To choose separate messages, hold Ctrl while selecting each one on Windows; on Mac, hold Command. Check the selected rows before moving, especially if the list includes messages with similar subjects.
-
Choose a destination folder. In classic Outlook for Windows, go to Home > Move > Move to Folder, then choose Inbox or another folder and confirm. In new Outlook for Windows and Outlook on the web, select Move or Move to on the toolbar, choose the destination, and select it. If the command is hidden, open the message’s right-click menu and look for Move or Move to. In Outlook for Mac, select the message and use the Move control on the toolbar, then choose the folder. If the Inbox is not immediately listed, open the folder list in the move menu or search for the folder name.
-
Confirm the message has moved. Open the destination folder and check for the email. If you moved it to Inbox, it should appear there, although its position depends on the current sort order and date. Return to Archive and check that the message is no longer listed. Moving changes the folder location; it does not change the message’s sent date or necessarily mark it as unread.
-
Move a message from Online Archive, if that is where it is. If your organization provides an Online Archive or archive mailbox, expand that mailbox in the folder pane, locate the message there, and use the same Move command. Select a destination in your main mailbox, such as Inbox, if you want it back with your regular mail. Your organization may restrict moving items between the archive mailbox and primary mailbox; if the destination is unavailable, contact your administrator.
-
Handle an AutoArchive file separately. In classic Outlook, AutoArchive may have moved messages into a local Outlook Data File, often a PST file, rather than the mailbox’s Archive folder. If you can see that file in the folder pane, open the relevant folder inside it, select the email, and move or copy it to a mailbox folder. If the PST is not listed, use Outlook’s option to open an Outlook Data File, then locate the file on your computer. Do not delete or move the PST file in File Explorer while Outlook is using it.
Common Mistakes
-
Selecting Archive instead of Move. The Archive button typically moves a message from the Inbox into the Archive folder. It does not bring an archived message back. To restore one, use Move and choose Inbox or another destination.
-
Looking in the wrong kind of archive. The regular Archive folder, an Online Archive mailbox, and an AutoArchive PST are different locations. If the message is not in the folder you expect, check the other locations available to your account before assuming it is gone.
-
Deleting instead of moving. Delete sends a message to Deleted Items or Trash; it does not restore it to the Inbox. If you used Delete by mistake, check Deleted Items and move the message from there to the correct folder.
-
Moving the wrong search result. Search can return a message from another account or folder. Confirm the sender, subject, date, and location before selecting Move, particularly when several messages have similar subjects.
-
Expecting the message to appear at the top of Inbox. Inbox may be sorted by received date, importance, or another field, and conversation view can group messages together. A successful move can be easy to miss if you expect it to appear first.
Tips
-
Use a specific search. A sender address or a few unusual words from the subject is often more useful than a broad term such as “invoice.” Add an approximate date range if Outlook offers search filters, then confirm the result’s location before moving it.
-
Choose a folder that suits how you work. Inbox is useful when you want the email back among new messages. For an item you are keeping for reference, a project or subject folder may be easier to manage. You can move a message to a different folder again later.
-
Move several messages in one operation only when they belong together. Selecting multiple messages can save time, but verify every selected item first. If only one message should be restored, select just that one rather than selecting an entire conversation or date range.
-
Remember that archive does not mean permanent storage. Moving a message out of Archive does not create a backup. For important correspondence, follow your organization’s retention rules and use approved storage practices rather than relying on a folder as the only copy.
-
Check the folder list before concluding that Archive is missing. The pane can be collapsed, and some folders may be hidden under a mailbox name or a “More” option. Expand the account and folder list before using search or changing settings.
Troubleshooting
The message does not appear in Archive. Search the whole mailbox using a sender or subject phrase, then inspect the result’s folder or location. Also check Deleted Items, other mail accounts, Online Archive, and any visible Outlook Data File. If the email was moved to a custom folder, searching within Archive alone will not find it.
The Move command or destination is unavailable. First select a message; some toolbar actions appear only after selection. In a work or school account, a retention policy or permission may prevent moving between certain mailboxes. Try moving the item to another folder in the same mailbox. If moving from Online Archive to the primary mailbox is blocked, ask your Microsoft 365 administrator about the mailbox policy.
The message seems to vanish after moving. Check the destination folder and its sort order, then search the mailbox again. Confirm that the message was not moved to another folder by mistake. If you accidentally deleted it, open Deleted Items and use Move to restore it. In some work or school accounts, deleted items may remain recoverable for a limited period; contact your administrator promptly if they are no longer visible.
Outlook is offline or not syncing. Check your internet connection and Outlook’s connection status, then wait for the folder to update. In classic Outlook, a message moved while working offline may not show the same way in Outlook on the web until changes synchronize. Avoid repeating the move several times; verify the message’s location after the account reconnects.
You cannot open an archive PST. Confirm you have the correct file and that it is stored somewhere accessible. In classic Outlook for Windows, use File > Open & Export > Open Outlook Data File, select the PST, and open it. If Outlook reports that the file is damaged or you do not have permission, do not overwrite it; ask your organization’s support team or a qualified technician for help. New Outlook and Outlook on the web do not handle local PST files in the same way as classic Outlook, so open the file in classic Outlook where available.
Frequently Asked Questions
Does removing an email from Archive delete it?
No. Using Move to place it in Inbox or another folder changes its location. To delete it, you would need to use Delete; a deleted message may then be in Deleted Items or Trash.
How do I move all archived emails back to my Inbox?
Open Archive, select the messages you actually want to restore, and use Move to choose Inbox. If selecting all, check whether the folder contains messages you want to keep archived. For a large mailbox, move smaller groups and verify each group rather than assuming every item should return to Inbox.
Will the email keep its original date?
Yes. Moving a message does not normally change its received or sent date. The message may appear lower in Inbox because Outlook sorts by date or groups messages into conversations.
Why can I see Archive on one device but not another?
The folder pane may be collapsed, the apps may be signed in to different accounts, or one device may not have synchronized yet. Check the account address, expand the folder list, and refresh or reconnect. Local AutoArchive PST files may be available only on the computer where the file is stored.
Can I remove an email from Online Archive and return it to my regular mailbox?
Usually, you can select the message in Online Archive and use Move to choose a folder in the primary mailbox. Some organizations restrict this action or manage archived messages with retention policies. If the primary mailbox does not appear as a destination, ask your administrator.
Is Archive the same as the Outlook Archive folder?
Not always. The Archive command usually sends a message to the mailbox’s Archive folder. An Online Archive is a separate mailbox, while AutoArchive can store messages in a local PST file in classic Outlook. Identify which location contains your message before moving it.
