To put an email in the Outlook archive, select the message and choose Archive. Outlook removes it from your Inbox and places it in the Archive folder, where you can still search for it or move it back later. You can do this in Outlook for Windows, Mac, the web, or a mobile device; the exact button location varies slightly.
What You’ll Need
- An Outlook account and access to the mailbox containing the email. This can be a Microsoft 365, Outlook.com, Exchange, or another account set up in Outlook.
- The Outlook app for your device, or a web browser signed in to Outlook on the web.
- For a large batch, a little time to review your selection before archiving. Archiving is not the same as deleting, but it can make messages harder to notice in the Inbox.
You do not need to create an Archive folder first in most Outlook accounts. Outlook normally provides one automatically. If your organization uses a separate online archive mailbox, note that it is different from the regular Archive folder; the Archive button generally moves a message into the regular folder, not the separate mailbox.
Step-by-Step
- Open the mailbox and locate the message. Start Outlook and open the Inbox or the folder that contains the email. If you are looking for a particular message, use the search box and enter a sender, subject, or phrase. Check the results carefully before selecting anything, especially if several messages have similar subjects.
- Select one email or a group of emails. In Outlook for Windows, click a message in the message list. To select several separate messages, hold Ctrl while clicking each one; to select a continuous range, click the first, hold Shift, and click the last. On a Mac, use Command-click for separate messages or Shift-click for a range. In Outlook on the web, use the checkboxes that appear beside messages, or select messages using the equivalent click-and-modifier method supported by your browser. On a phone, press and hold a message to enter selection mode, then tap any additional messages you want.
- Find the Archive command. In classic Outlook for Windows, open the Home tab and look for Archive in the ribbon. In new Outlook for Windows and Outlook on the web, select the message and choose Archive from the message toolbar; if the toolbar is condensed, open its three-dot More actions menu. In Outlook for Mac, select the message and click Archive on the toolbar. If the button is not shown, check the Message menu or the message’s context menu. In the Outlook mobile app, select the message and tap the archive-box icon or the displayed Archive action.
- Archive the selected email. Click or tap Archive once. Outlook should remove the message from the current folder, usually the Inbox, without sending it to Deleted Items. When you archive multiple selected messages, the action applies to that selection. If Outlook asks you to confirm an action, read the prompt and confirm only if the selected messages are correct.
- Verify where it went. Open the folder list and select Archive. In many accounts this is a regular folder under the mailbox name. Look for the message by its sender or subject. You can also search all mail, rather than only the Inbox, to confirm that it remains available. Folder names and locations can vary if an administrator or user has customized the mailbox.
- Archive messages from a search result when useful. Search for the email, select the correct result, then use the same Archive command. Before archiving a batch from search, check the search scope and selection count. A search may include messages from folders other than the Inbox, and a broad query can select more mail than intended.
- Undo immediately if you archived the wrong message. Look for an Undo notice that may appear briefly after the action and select it. If that notice is gone, open the Archive folder, select the message, and move it back to the Inbox. Depending on your Outlook version, use Move or drag the message to the Inbox. Moving it back does not normally erase the message or its attachments.
- Use the same process on other devices. If the account synchronizes with Microsoft 365, Exchange, or Outlook.com, a message archived on one connected device should also appear in the Archive folder on your other devices. Allow time for synchronization, then refresh the folder. A locally stored account or connection problem may not synchronize in the same way.
In classic Outlook for Windows, the ribbon’s Archive command may offer a first-use prompt to create or choose an archive folder. Follow the prompt if it appears, then check the destination afterward. Do not assume this prompt refers to a separate online archive mailbox: verify the folder name in the navigation pane. If you want to preserve a message in a particular project folder instead, use Move and choose that folder rather than Archive.
Common Mistakes
- Confusing Archive with Delete. Archive removes mail from the Inbox but keeps it in the mailbox. Delete sends it to Deleted Items, where it may eventually be permanently removed according to account settings.
- Expecting Archive to free mailbox space. The regular Archive folder is usually part of the same mailbox and still counts toward its storage limit. It helps organize your Inbox, but it is not necessarily a storage-reduction tool.
- Expecting the Archive button to use the online archive mailbox. An organization may provide a separate archive mailbox, often shown as Online Archive or a similar name. The ordinary Archive button usually targets the regular Archive folder. Use Move to select the separate mailbox or a folder within it if that is your goal and you have access.
- Archiving the wrong selection. When selecting a range or results, check the highlighted messages and selection count. A modifier key or a broad search can make the selection different from what you intended.
- Assuming a message has disappeared permanently. It may simply be outside the Inbox, under a different folder, or hidden by a view or filter. Search the whole mailbox before concluding that it is missing.
Tips
- Archive instead of deleting when you may need the email later. Receipts, travel confirmations, project decisions, and reference messages are common candidates. Keep messages that your workplace requires you to retain according to its retention policy.
- Use search to find archived messages. Search by a distinctive sender, subject phrase, or date range. If Outlook has a folder filter or search scope control, change it from Inbox to all mail or all folders so archived messages are included.
- Make a quick review part of bulk archiving. Select a manageable group, inspect the highlighted messages, and archive them. For an especially large selection, do a smaller test batch first and confirm the destination.
- Keep folders purposeful. Archive is convenient for clearing the Inbox without deciding on a detailed filing system. Use named folders when you need a stable place for a topic, client, or project that you will revisit often.
- Remember that archiving is reversible. If a message becomes relevant again, search for it in Archive and move it to the Inbox or another folder. You do not have to forward it to yourself.
Troubleshooting
I cannot find the Archive button. Select a message first; some Outlook layouts show message actions only after selection. Look in the toolbar, the Home tab in classic Windows Outlook, or the three-dot More actions menu. On mobile, enter selection mode before looking for the archive icon. If your organization has customized the app, use the message’s context menu or ask your Microsoft 365 administrator whether the command is restricted.
The message did not leave the Inbox. Check whether you clicked the command or only opened its menu. Then refresh the folder or wait briefly for synchronization. Confirm that the message is not still selected because the action failed, and check whether a filter or conversation view is making the thread appear in an unexpected way. If Outlook is offline, reconnect and retry after it syncs.
I archived a message but cannot see it in Archive. Search all mail by sender or subject, not just the Inbox. Check whether a custom Archive folder exists under a different mailbox or account. If the message was archived from a shared mailbox, make sure you are viewing that same mailbox’s folder list. Also check Deleted Items in case the wrong command was used.
The Archive folder is missing. Expand the mailbox in the folder pane and look for a collapsed or customized folder list. In Outlook on the web, check the folder list’s More area if it is collapsed. If there is no Archive folder, try archiving one message and see whether Outlook creates or prompts you to select a destination. If the account is managed by work or school, contact the administrator before creating a replacement folder, since retention and folder policies may apply.
The message appears on one device but not another. Confirm both apps are signed in to the same account and refresh the folder. Check your internet connection and allow synchronization to finish. If one device uses a local or POP account, folder changes may not sync as they do with Microsoft 365, Exchange, or Outlook.com. Do not archive the same message repeatedly while waiting; first search the other device’s entire mailbox.
I need to reduce mailbox storage. Moving messages to the regular Archive folder may not reduce mailbox usage. Review the mailbox’s storage information and your organization’s retention rules. If a separate online archive mailbox is available, use Move to place eligible messages there, or ask your administrator which approved storage options apply. Avoid deleting messages merely to make space if you are required to retain them.
Frequently Asked Questions
Does archiving an Outlook email delete it?
No. Archiving normally moves the email out of the current folder, often the Inbox, and into Archive. It remains in the mailbox and can be searched or moved back unless it is later deleted or removed by an applicable retention policy.
Where do archived emails go in Outlook?
They usually go to a folder named Archive in the same mailbox. The folder may be nested or hidden in a collapsed folder list. A separate Online Archive mailbox is a different destination and is not necessarily used by the Archive button.
Can I archive several emails at once?
Yes. Select multiple messages in the list, check the selection, and choose Archive. The selection method varies by device: modifier-click on desktop, checkboxes or multi-select in the web app, and press-and-hold followed by taps in the mobile app.
How do I move an archived email back to my Inbox?
Open Archive or search for the message, select it, and choose Move then Inbox. You can also drag it to Inbox on desktop if your Outlook layout supports dragging. If you see an Undo notice immediately after archiving, that is another quick option.
Will archiving email free up Outlook storage?
Usually not when you use the regular Archive folder. That folder is generally within the same mailbox, so its messages continue to count toward the mailbox quota. A separate online archive may have different storage arrangements; check your account or administrator’s guidance.
Can Outlook automatically archive older emails?
Some classic Outlook for Windows installations include AutoArchive settings, but availability and behavior depend on the account type and organizational policy. It is not the same as manually clicking Archive, and automatic processing can move or delete items according to configured rules. Check File > Options > Advanced in classic Outlook for Windows if AutoArchive is available, and review the settings carefully before enabling it. New Outlook and Outlook on the web may offer different retention or cleanup features rather than that classic setting.
