To make a booklet in Word 365, open the desktop app, go to Layout > Margins > Custom Margins, set Multiple pages to Book fold, then format and print the document. Word arranges the pages in booklet order; you print the sheets, fold them in half, and secure them together. Before you start, decide on the finished page size and check whether your printer can print on both sides.
What You’ll Need
- Microsoft Word for Microsoft 365 desktop on Windows, or Word for Microsoft 365 on Mac. Word for the web does not provide the full Book fold page setup, so open the file in the desktop app for this task.
- Your booklet text and any images, tables, or cover content. You can also start with a blank document and add content after setting up the pages.
- Paper in the size you plan to print on, such as Letter or A4, and a printer that supports duplex printing. If it does not, you can print the two sides manually.
- A stapler or another way to bind the folded sheets, if you want a finished, assembled booklet.
Step-by-Step
- Plan the finished size and page count. A booklet page is half the sheet it is printed on. For example, printing on Letter paper and folding each sheet in half produces pages about 5.5 by 8.5 inches. Printing on A4 produces pages about A5. Booklets use sheets with four page sides each, so the total page count works best as a multiple of four. Estimate how many pages your text and images will need, but do not add blank pages yet; Word can leave spaces at the end of a booklet section when needed.
- Open the Page Setup controls. In Word for Windows, select the Layout tab, choose Margins, then Custom Margins. In the Page Setup dialog, stay on the Margins tab. On Mac, open Layout > Margins > Custom Margins and use the Pages or Page Setup controls in the dialog. Names and placement can vary slightly by Word build.
- Choose Book fold. In the Page Setup dialog, find the Pages area and open the Multiple pages dropdown. Select Book fold. Word switches the page arrangement to a booklet layout and normally changes orientation to landscape because two finished pages sit side by side on each sheet. Do not manually set landscape in place of Book fold: landscape alone will not reorder the pages for folding.
- Set the paper size and margins. Open the Paper tab in the same dialog and choose the paper size that will go through your printer, such as Letter or A4. This is the unfolded sheet size, not the final half-sheet page size. Return to the Margins tab and set the margins for comfortable reading. When Book fold is active, Word uses inside and outside margins. Increase the inside margin or gutter if the binding will hide text near the fold. Keep important text and page numbers away from the paper edges, since printers may not print to the edge.
- Choose the sheets per booklet if needed. In the Pages area, Word may show a Sheets per booklet setting. Leave it at All for one booklet, or choose a smaller number if you are deliberately splitting a long document into separately folded sections. If you split it, check how each section starts and ends; the sections must be assembled in the intended order. For a simple short booklet, leaving this setting alone is usually easiest.
- Confirm the setup. Select OK to apply the settings. Word may show the page orientation changing or the document appearing as two pages side by side. That view represents a printed sheet, not the order in which you should type the content. Edit the document as a normal sequence: cover content first, then the next page, and so on. Word handles the rearrangement for printing.
- Add and format the content. Type or paste the booklet text in reading order. Use styles from Home > Styles for headings and body text so that formatting stays consistent. Add page numbers with Insert > Page Number; inspect the result in print preview, because the binding layout changes where pages appear on a sheet. Resize pictures so they fit within the page margins, and use paragraph controls to avoid headings stranded at the bottom of a page. Save the file with Ctrl+S on Windows or Command+S on Mac.
- Check page breaks and the final page count. Turn on formatting marks with Home > Show/Hide ¶ if you need to spot extra paragraph marks or page breaks. Check that each topic starts where you expect and that no content has overflowed into an unwanted page. A booklet may include blank spaces or blank pages at the end so that the sheet sides pair correctly. Those spaces are normal when the document does not fill a complete four-page group; do not remove a necessary blank merely to force an even-looking screen view.
- Preview the booklet before printing. Select File > Print. Review the preview pages and use the page navigation controls to inspect the front, middle, and final sheets. The preview should show two booklet pages on a sheet, with the cover paired with the final page on the outside sheet. Check that the text is upright, the page numbers are in the right places, and nothing is clipped. If you see pages in ordinary sequential order rather than booklet imposition, return to Page Setup and confirm Book fold is selected.
- Print a test copy, then print the full run. Choose the printer and the paper size that match your Page Setup. If available, enable Print on Both Sides and choose the option to flip on the short edge for the landscape sheets. Printer drivers use different labels, so check the preview or manual for your model; a one-sheet test is the best way to confirm the back is upright. If duplex printing is unavailable, use the printer’s Manually Print on Both Sides option if Word offers it, and follow the displayed instructions for reinserting pages. Fold the sheets in half, nest them in page order, and staple or bind along the crease.
Common Mistakes
- Setting landscape but not Book fold. Landscape changes page orientation, but it does not impose pages into booklet order. Select Book fold in Page Setup.
- Choosing the finished page size as the printer paper size. If you want half-Letter pages, set the paper to Letter and let Book fold place two pages on each sheet. Choosing half-Letter paper can cause scaling or incorrect output.
- Reading the editing view as print order. The document should be authored in normal reading sequence. Do not move the final page to the front or manually pair pages; Word performs that rearrangement.
- Using the wrong duplex direction. A booklet sheet is landscape, and flipping on the wrong edge can make the reverse side upside down. Test one sheet rather than assuming the printer’s default is correct.
- Putting text too close to the fold or edge. Tight inside margins can make words disappear into the binding, while many printers leave an unprintable border. Allow room for both.
- Removing a blank page without checking the imposition. A blank page may be needed so the final sheet pairs correctly. Review the print preview before deleting it.
Tips
- Set up Book fold before extensive formatting. Changing layout late can shift page breaks, images, and tables.
- Use a short test document or print only a test copy before spending paper on a long run. Mark the top edge of the test sheet lightly to see how it feeds and turns.
- Keep the design simple near the crease. Avoid placing a photograph, small text, or a thin border exactly across the fold, where the image may not line up after folding.
- Use section breaks only when you need a deliberate change, such as different headers or page numbering. Unplanned section breaks can create separate booklet sections or unexpected blank pages.
- For a digital proof, choose File > Save As or File > Export and create a PDF, then inspect it at print size. A PDF is useful for sharing, but verify that the PDF retains the booklet layout before sending it to a print shop.
- Print on the paper stock you intend to use for the final copy. Heavier paper can feed differently, and a thick booklet may need a wider gutter or a different binding method.
Troubleshooting
The preview shows pages in the wrong order. Reopen Layout > Margins > Custom Margins and confirm that Multiple pages is set to Book fold. Also check that the document is being printed from Word with the correct file and page range. Do not try to fix imposition by manually rearranging the text.
The back of each sheet is upside down. The printer is likely turning the paper on the wrong edge. In the print settings, change the duplex option between flipping on the short edge and flipping on the long edge, as available, then test again. The exact label varies by printer and driver, and some printer dialogs may not expose the setting until you open printer properties.
Only one side prints. Check that duplex printing is enabled in both Word’s print screen and the printer properties. If your printer does not support automatic duplexing, select a manual duplex option if offered and follow the on-screen feed instructions. If printing manually without a guided option, test a few pages first; printers differ in how they expect the stack to be turned and reloaded.
The page is clipped, shrunk, or unexpectedly blank. Verify that the paper size in Word matches the paper loaded in the printer, and check for a scaling option such as fit to paper in the printer dialog. Turn off unwanted scaling if the layout should print at actual size. Inspect the document for extra page breaks, section breaks, or content that has moved to a new page. A blank at the end may be required by the booklet layout, but a blank in the middle can indicate a break or overflow.
Book fold is missing or behaves differently. Make sure you are using the desktop version of Word rather than Word for the web. On Mac, open the full Custom Margins or Page Setup dialog; available controls may be arranged differently from Windows. If a workplace-managed installation has restricted features, update Word or ask the administrator whether the desktop app is available.
Frequently Asked Questions
Can I make a booklet in Word for the web?
Word for the web does not offer the full Book fold page setup used here. Open the document in the Word desktop app for Microsoft 365, set up the booklet, and then print or export it.
Does Word automatically put the pages in booklet order?
Yes. When Book fold is selected, Word imposes the pages for printing so they read in sequence after the sheets are folded. Keep the text in normal reading order in the document.
How many pages should a booklet have?
Each sheet contributes four booklet pages: two on the front and two on the back. A total page count divisible by four uses complete sheets. If your content falls short, Word may leave blank spaces or pages at the end.
What paper size should I choose?
Choose the size of the flat sheet that goes into the printer. Letter paper folds into half-Letter pages, while A4 folds into A5 pages. Confirm that the printer tray and print settings use the same sheet size.
Can I print the booklet double-sided manually?
Yes, if automatic duplexing is unavailable. Use Word’s manual duplex prompt when possible and follow its instructions exactly. Otherwise, test a small number of sheets to learn how your printer feeds the reverse side before printing the full booklet.
Can I make a PDF booklet?
You can save or export the Word document as a PDF to share or proof. Check the PDF pages carefully: a PDF intended for reading may be sequential, while a print-ready imposed booklet should show the page pairs required by the printer or print shop.
