To get archived emails in Outlook, open the Archive folder in your mailbox or search for a message across all mail folders. If your organization provides a separate Online Archive, open that mailbox and search there too. The right place depends on whether you used Outlook’s Archive button, an organization’s retention archive, or a local Outlook Data File.
What You’ll Need
- Access to the Outlook account where the message was originally received, and an internet connection if the mailbox is online.
- The Outlook app or Outlook on the web. Menu names vary slightly between classic Outlook, new Outlook, Mac, and mobile.
- If you used a local archive file, access to the computer and the
.pstfile where that archive was saved. A work or school Online Archive may require an eligible account and administrator settings. - Any details that can narrow the search, such as the sender’s name, a phrase in the subject, or an approximate date.
Step-by-Step
- Check which kind of archive you used. Outlook uses the word “archive” for more than one thing. Pressing the Archive button usually moves a message into the regular Archive folder inside the same mailbox; it does not delete the message or necessarily move it to a separate storage account. A work or school mailbox may also have an Online Archive, sometimes called an In-Place Archive, shown as a separate mailbox. Older classic Outlook setups can use a local Outlook Data File ending in
.pst. Start with the regular Archive folder, then check the other locations if the message is not there. - Open the Archive folder in Outlook for Windows. In new Outlook, expand the account’s folder list in the left navigation pane and select Archive. If the folder list is collapsed, use the navigation pane’s expand control or open the folder list first. In classic Outlook for Microsoft 365, expand the mailbox in the Folder Pane and select Archive. If you have several accounts, make sure you are looking under the account that received the message; each account can have its own Archive folder.
- Check Archive on the web, Mac, or mobile. In Outlook on the web, open the folder pane and choose Archive under the correct account. In Outlook for Mac, select the account in the sidebar, expand its folders if needed, and open Archive. In the Outlook mobile app, tap the account or menu button to open the folder list, then tap Archive. Folder names and navigation controls can differ a little by app version, but look for the mailbox’s folder list rather than the Archive button on an individual message.
- Search the mailbox if you cannot browse to the message. Click or tap the Outlook search box and enter a distinctive sender name, subject phrase, or a few words from the email. Avoid searching for a very common word by itself. In desktop Outlook, check the search scope and choose the current mailbox or all mailboxes as appropriate; in Outlook on the web, make sure the search is not limited to the currently open folder. Open likely results and confirm the sender, date, and content before moving anything. If you know the message is archived, repeat the search while viewing the Archive folder to narrow the results.
- Search a separate Online Archive if your account has one. In the folder pane, look for a second mailbox named something like Online Archive, In-Place Archive, or Archive – your name. Expand it and browse its folders, or select it before searching so the search includes that mailbox. In classic Outlook for Windows, an Online Archive may appear as a separate mailbox below the main one. Its availability and exact name depend on the organization’s Microsoft 365 or Exchange setup; it is not the same folder as the normal Archive folder.
- Open a local archive file in classic Outlook for Windows. If you were given a
.pstfile or know one was created by AutoArchive, open classic Outlook. Select File > Open & Export > Open Outlook Data File, browse to the.pstfile, and select it. Outlook should add the data file to the Folder Pane, where you can expand it and browse its folders. This menu path is for classic Outlook on Windows; new Outlook and Outlook on the web do not provide the same full PST-opening workflow. If you cannot locate the file, search the computer or ask the person or administrator who configured the archive where it was saved. - Restore the message if you want it back in your Inbox. Open the email first to verify it is the one you need. In Windows Outlook, select the message and use Move on the ribbon or toolbar, then choose Inbox or another destination. You can also drag a message to a visible folder in many desktop views. In Outlook on the web or mobile, select the message, choose Move to from the toolbar or More actions menu, and select the destination folder. Moving a message out of Archive does not erase it; it simply changes its folder. You can leave it archived if you only needed to read or find it.
- Confirm that the change has synced. For a connected Microsoft 365, Exchange, Outlook.com, or IMAP mailbox, allow Outlook a moment to sync, then check the destination folder. If you use more than one device, verify the message appears there as well. A local PST is stored on the computer rather than automatically synced as a mailbox folder, so moving a message from a PST will not make that file’s contents appear in the cloud unless you move or copy it into a cloud mailbox.
Common Mistakes
Confusing Archive with Online Archive: The Archive button normally moves a message into the mailbox’s regular Archive folder. It does not automatically place it in the organization’s separate Online Archive. Check both locations when appropriate.
Looking in the wrong account: If Outlook contains personal and work accounts, the same folder name can appear under each. Expand the correct account before browsing, and set the search scope deliberately.
Assuming Archive means Deleted Items: Archived messages are not normally in Deleted Items. Search Deleted Items only if you may have deleted the message, or if a rule or action could have moved it there.
Searching only the open folder: A search limited to Inbox will not necessarily find a message in Archive, another folder, or a separate archive mailbox. Widen the scope or open the relevant location first.
Moving everything back to Inbox: You can restore one message without restoring an entire folder. Select only the items you need, particularly when handling a large archive or a PST file.
Tips
Search with a combination of clues. A sender’s last name plus a word from the subject is often more useful than a broad query such as “invoice.” If you know an approximate period, add a date range or use Outlook’s search filters where available. Search syntax and filters can differ by Outlook version, so use the displayed filter controls if a query is not recognized.
When you find the message, check its folder and account before moving it. If you need to keep it accessible on all devices, move it into a folder in the synced mailbox rather than leaving it only in a local PST. For important work messages, follow your organization’s retention rules; moving a message does not necessarily change how long the organization keeps it.
Use a descriptive folder name for messages you retrieve frequently, and consider using Outlook’s search or a mailbox rule instead of repeatedly moving large batches. If you manage a PST file, keep a backup and note its location. Do not delete or rename a data file while Outlook is using it, and do not assume that a PST is backed up just because it appears in Outlook.
Troubleshooting
The Archive folder is missing: Expand the folder pane and the correct account. If it still is not visible, use search and check whether the account has a different folder arrangement. A work account’s Online Archive may not be enabled, and a PST will not appear until it is opened in classic Outlook. Contact your organization’s administrator if you expect an Online Archive but do not see one.
Search returns no results: Remove unusual punctuation and try a shorter, distinctive phrase. Check spelling, broaden the date range, and set the scope to the whole mailbox or all mailboxes. Then search the regular Archive folder and any separate Online Archive individually. If Outlook is offline or still syncing, reconnect and try again. A message that was permanently deleted or removed under a retention policy may not be recoverable through ordinary search.
The PST file does not open: Confirm that you selected the actual .pst file, not a shortcut or folder. Make sure the file is stored somewhere you can access, and close and reopen classic Outlook if it is already in use. If Outlook reports that the file is damaged, avoid editing the original; make a copy and ask your IT support team about recovery options. New Outlook may not support the same PST workflow, so use classic Outlook for the menu path above.
The message appears but will not move: Check that you have permission to change the mailbox and that Outlook is connected. Try the Move command rather than dragging, choose a destination under the correct account, and wait for the sync to finish. For an organization-managed archive, retention or access policies may limit what you can move; ask the mailbox administrator if the option is unavailable.
The message disappears after moving: Search for it again across all mailboxes and check the destination folder, Deleted Items, and any conversation view that may group messages together. If you moved it from a local PST, look in the mailbox or data file you selected as the destination. Do not repeat the move until you confirm where the first copy went.
Frequently Asked Questions
Does Outlook delete emails when I archive them?
No. The Archive button normally moves a message out of its current folder and into the mailbox’s Archive folder. It remains available unless it is later deleted or removed by a retention policy.
How do I get an archived email back into my Inbox?
Find and select the message, choose Move or Move to, and select Inbox. Check that you are moving it into the Inbox for the account where you want it to appear.
Is Archive the same as Online Archive?
No. Archive is usually a regular folder in your mailbox. Online Archive is a separate archive mailbox that may be provided for certain work or school accounts. The Online Archive’s availability depends on your account and administrator settings.
Can I find archived emails in Outlook on my phone?
Yes. Open the account’s folder list in the Outlook mobile app and tap Archive, or use search and check the results. A separate Online Archive may not be available in every mobile setup, so use Outlook on the web or desktop if you cannot access it in the app.
Where does Outlook save AutoArchived emails?
In classic Outlook for Windows, AutoArchive can move older items into a local PST file. Its location depends on the settings and computer. In classic Outlook, check File > Options > Advanced > AutoArchive Settings, or ask whoever configured Outlook. AutoArchive is distinct from clicking the Archive button.
Can I recover an archived email if I cannot find it?
First search every relevant mailbox and archive location, then check Deleted Items if it may have been deleted. For work or school mail, contact the administrator promptly: retention and recovery options vary by organization, and a permanently deleted message may not be recoverable by the user.
