To edit an address block in a Word mail merge, replace or reinsert the Address Block field from the Mailings tab, adjust its format and field mappings, then use Preview Results to check how real recipients will appear. You will need a mail-merge document linked to a recipient list, such as an Excel workbook or Outlook contacts. If you need a layout Word’s built-in block cannot produce, insert individual merge fields instead.
What You’ll Need
- Microsoft Word for Microsoft 365 on Windows, with the Mailings tab available.
- A mail-merge main document, such as a letter, envelope, or labels document.
- A connected recipient list with address details in separate, clearly named columns, such as First Name, Last Name, Street, City, State, and ZIP Code.
- A saved copy of the document or a way to undo changes if the layout needs to be restored.
The menu names below are for Word for Microsoft 365 on Windows. Word for Mac has the same core mail-merge features, though the ribbon layout and some dialog details can vary. Keep the recipient list open or know where it is saved so you can check the source data if a field is missing.
Step-by-Step
- Open the merge document and confirm its recipient list. Open the main Word document, select the Mailings tab, and check that the merge is connected to the right people. If needed, choose Select Recipients and then choose the existing list or connect to the correct data source. An address block cannot display useful information if Word is linked to the wrong workbook, worksheet, or contact list.
- Find the existing address block. Scroll to the place where the recipient address should appear. In a letter, this is often above the greeting; in an envelope or label, it is the delivery-address area. If Preview Results is turned on, turn it off temporarily so you can distinguish merge fields from the sample recipient information.
- Decide whether to replace the block or customize it manually. Word treats Address Block as a single merge field. It is usually simplest to remove the existing block and insert a replacement, rather than trying to edit the displayed sample text. If you only need standard name and postal-address lines, use the built-in block. If you need a nonstandard order, extra fields, or precise control over line breaks, use individual merge fields as described in step 7.
- Remove the old block if you are replacing it. Click the address-block field in the document and select the field or its displayed result, then press Delete. If the selection is unclear, use Undo immediately and try again; do not delete the surrounding letter text. You can also place the cursor next to the block and carefully select only that element. The gray shading Word may show for a field is just a screen indicator and will not print.
- Insert a fresh Address Block field. Place the cursor where the address should begin. Go to Mailings > Address Block. In the Insert Address Block dialog, choose the name format you want and set whether to include the company name and postal address. Use the country or region options to control when the country appears. The preview in the dialog shows the general arrangement, but it does not replace checking actual records in your list.
- Match Word’s fields to your column headings. In the Insert Address Block dialog, select Match Fields. For each item Word expects, use the drop-down list to choose the corresponding column from your recipient source. For example, map Address 1 to the column containing the street address, City to the city column, and Postal Code to the ZIP or postal-code column. If a field is shown as unavailable, check that the source column has a clear header and that the correct worksheet or list is connected. Select OK to save the mappings, then confirm the block dialog.
- Build a custom block with individual fields when necessary. If the built-in arrangement is not suitable, place the cursor at the address location and use Mailings > Insert Merge Field to insert one field at a time. For example, insert First Name, a space, and Last Name on the first line; press Enter; then insert Street, followed by another line for City, State, and ZIP Code. Type punctuation and spaces between fields where needed. Insert field names from the menu instead of typing names in braces: typed text will not merge. Remove the old Address Block field so the recipient does not appear twice.
- Preview several recipients. Select Mailings > Preview Results. Use the left and right recipient arrows beside the preview controls to check more than the first record. Look at people with different name lengths, missing apartment or company details, and addresses in different countries. Check that lines wrap cleanly and that optional information does not leave awkward punctuation or extra blank lines.
- Update and save the document. If you edited individual fields or changed the source mappings, preview again after making the changes. Save the main merge document before completing the merge. When the layout looks right, use Finish & Merge to create the final output, such as a new document or printed letters. Review the merged output before printing or sending it; changes to the main document do not necessarily fix a separate output document you have already created.
On Word for Mac, open the document and use the Mailings tab to insert an Address Block, match fields, and preview results. Some builds place controls differently or show a slightly different dialog. If a named button is not visible, look for the corresponding Address Block, Insert Merge Field, or Preview Results control on the Mailings ribbon. The process and the need to verify the source-column mapping are the same.
Common Mistakes
- Typing over the preview text. When Preview Results is on, the names and addresses shown are sample values from the list, not ordinary document text. Turn preview off and change the field or source data instead.
- Assuming similar column names are matched correctly. Word may not connect a column called ZIP to the Postal Code field automatically. Open Match Fields and verify each important mapping yourself.
- Leaving both the old and new blocks in place. Inserting a replacement without removing the original can produce two addresses on every letter or label. Preview the result and delete the extra field.
- Putting all address details in one source column. A built-in block works best when names, street, city, region, and postal code are available as separate fields. A single combined address column may be easier to place as one merge field, but it gives you less control over formatting.
- Ignoring blank values and long entries. A missing apartment number or company name can leave an empty line, while a long name can wrap. Check varied records rather than relying on one example.
- Confusing field shading with printed formatting. Word can shade fields on screen to make them easier to identify. That shading is not part of the printed address.
Tips
- Use one row per recipient and a separate, descriptive header for each data column. Avoid blank header cells, merged headings, and multiple header rows in the source list.
- Keep the source values consistent. For example, use a dedicated State or Region column rather than sometimes placing that information in the City column.
- For a standard postal address, start with Address Block and adjust its settings before building a manual layout. It is easier to maintain and can apply address conventions based on the destination country.
- For labels, finish the first label’s layout and choose Mailings > Update Labels to copy it across the sheet. Then preview several recipients and check that the label grid remains aligned.
- Use a test record with a long name, a company, and an apartment number to check whether the layout has enough room. For a large mailing, make a small merged test document before printing a full batch.
Troubleshooting
The block shows «AddressBlock» or field names instead of an address. Turn on Mailings > Preview Results. If the result still does not appear, check that a recipient list is connected and that the current record contains data. If you see field codes instead of results, right-click the field and choose Toggle Field Codes, if available, or switch preview on.
Names or address parts are missing or in the wrong order. Open Mailings > Address Block > Match Fields and check the mappings. Confirm the selected recipient source and inspect its column headings. If a column was added or renamed after the document was connected, reconnect or remap the data and preview again.
The country appears when it should not, or is missing. Reopen the Address Block settings and review the country or region options. Also confirm that the source contains a consistent country value for the recipient. If your mailing is domestic, choose the option that omits the country when appropriate; if it is international, ensure the country is included for overseas records.
There are blank lines, odd commas, or wrapped text. Check whether the relevant source cells are empty and whether punctuation was typed between fields. A manual layout may need adjustment, or the source data may need consistent values. Preview a record with the missing detail and another with it present; this reveals whether the formatting works in both cases.
The address is correct in preview but wrong in the finished output. Make sure you completed the merge from the latest saved main document and correct recipient list. If you created a new merged document before changing the layout, create a new output after the changes. Inspect the finished document before printing, especially when using labels or envelopes.
Frequently Asked Questions
Can I edit an Address Block after inserting it?
Yes, but Word presents it as a single merge field rather than ordinary text. The straightforward approach is to remove it and insert a new block with the desired options. Use individual merge fields if you need more control over the exact layout.
How do I change which Excel columns appear in the address?
Choose Mailings > Address Block > Match Fields, then map Word’s address items to the correct column names. Preview records afterward to confirm that the values appear in the intended places.
Can I include a company name or apartment number?
Yes. The Address Block dialog includes an option for a company name, while address details depend on the fields in your source. For an apartment number, map or insert the column containing it, and check whether it belongs on the street line or a separate line in your mailing format.
Why does the address look different for different recipients?
Each preview uses a different row from the recipient list. Names, company details, country rules, and blank source cells can change the number of lines or how text wraps. Check several records and adjust the source or layout to handle the variations.
Can I format only one part of the address?
With a built-in Address Block, formatting options apply to the block as a whole. For more precise control, insert individual merge fields and format the resulting lines or text in Word. Preview the merge to ensure the formatting is retained for every recipient.
Will editing the Word address block change my Excel data?
No. Changing the block or its field mappings changes the Word document, not the values in the connected workbook. Edit the source list separately if a name, street, or postal code itself is incorrect.
