Delete Emails From Archive in Outlook: Step-by-Step

To delete archived emails in Outlook, open the Archive folder, select the messages, and choose Delete. Outlook moves them to Deleted Items; empty that folder only if you also want to remove them from there. These steps apply to Outlook for Microsoft 365 on Windows, Outlook for Mac, and Outlook on the web. First check that you are in the right kind of archive, because an Archive folder and an Online Archive mailbox are different.

What You’ll Need

  • Access to the Outlook mailbox that contains the archived emails.
  • A working internet connection if you use Outlook on the web, new Outlook, or a mailbox that syncs with a server.
  • The ability to identify the messages you intend to delete. If you may need them later, save or move a copy before deleting.

Step-by-Step

  1. Identify which archive contains the messages. In the folder pane, look for a folder named Archive under your mailbox. Messages sent there by clicking Outlook’s Archive button are still part of your mailbox; the button moves them out of the Inbox but does not make them permanent or untouchable. If you instead see Online Archive, sometimes displayed with your name, that is a separate archive mailbox. Expand it and locate the relevant folder inside. In classic Outlook for Windows, a manually configured archive may appear as an Outlook Data File, often named Archive.pst. Do not delete the data file or remove the mailbox just to delete messages.
  2. Open the relevant folder. Select Archive or the appropriate folder inside Online Archive or the archive data file. If you have several accounts, check the account name above the folder list so you do not work in the wrong mailbox. Wait for the message list to load and confirm that it contains the emails you want to remove.
  3. Find and verify the messages. Scan the sender, subject, and date before selecting anything. If the folder is large, use Outlook’s search box to find a sender, phrase, or date-related term, then check that the search is scoped to the intended mailbox or folder. Search layouts vary between Outlook versions, so confirm the results are from the archive you opened. Open a message if the subject alone is not enough to identify it.
  4. Select the emails to delete. Click one message to select it. In Outlook for Windows, hold Ctrl while clicking separate messages, or hold Shift while selecting a range. On a Mac, use Command-click for separate messages and Shift-click for a range. In Outlook on the web and new Outlook, you can also use the selection circles or checkboxes beside messages when they are shown. Select only the messages you have reviewed; selecting a conversation may include more than one message, depending on your view.
  5. Delete the selected messages. In classic Outlook for Windows, choose Home > Delete on the ribbon, or press the Delete key. In new Outlook and Outlook on the web, select the trash-can Delete button in the toolbar. In Outlook for Mac, click Delete on the ribbon or use the Delete key. The selected messages should disappear from the archive folder and move to Deleted Items (called Trash in some Mac configurations).
  6. Check the result before clearing anything permanently. Open Deleted Items or Trash and confirm the messages you meant to delete are there. If the wrong item was moved, select it and choose Move or drag it back to the original folder. If the correct items are there and you only wanted them out of the archive, you can stop: they are already out of the Archive folder, but remain recoverable in Deleted Items for now.
  7. Empty Deleted Items only if you want permanent deletion. This removes the messages from the normal Deleted Items folder as well. In classic Outlook for Windows, right-click Deleted Items and choose Empty Folder, then confirm. In Outlook on the web or new Outlook, select Deleted Items and use the Empty folder command if it appears in the toolbar or folder menu. Outlook for Mac provides an empty-trash or empty-folder command, with its location varying by version. Review the folder carefully before confirming, because emptying it can remove many items, not just the emails you selected from Archive.
  8. Allow the mailbox to sync. If you use Outlook on more than one device, leave it connected long enough for the deletion to sync. Check the archive and Deleted Items in the same account on another device or in Outlook on the web if you need to verify the server-side result. A message may briefly remain visible while Outlook is offline or syncing.

Common Mistakes

  • Confusing Archive with Online Archive. The ordinary Archive folder is part of the mailbox. Online Archive is a separate mailbox that may be managed by your organization and may have different retention rules. Expand the correct location before selecting messages.
  • Assuming the Archive button deletes. The Archive command normally moves a message from the Inbox to Archive. To remove it, select it in Archive and use Delete.
  • Emptying Deleted Items too soon. Deleting from Archive generally moves items into Deleted Items rather than erasing them immediately. Emptying that folder is a separate, more consequential action. Make sure you do not need the messages before taking it.
  • Selecting the wrong range or conversation. A Shift-click can select every message between two points, and conversation view can group multiple emails. Review the selection count and subjects before pressing Delete.
  • Deleting the archive file itself. If classic Outlook has a PST data file, deleting the file from your computer or removing it from Outlook is not the same as deleting selected messages. It can make many emails unavailable. Work inside the file’s folder list and delete only the intended items.

Tips

  • Use a narrow search. Search for a distinctive sender or subject phrase, then verify the folder and dates in the results. Avoid deleting every result when the search may include messages from other folders or accounts.
  • Try a reversible move first. If you are uncertain, move messages to a temporary review folder rather than emptying Deleted Items. You can inspect them later without losing them from the archive immediately.
  • Delete in smaller groups. For a large cleanup, select a manageable batch, delete it, and check Deleted Items before continuing. This makes it easier to catch a mistaken selection.
  • Know your organization’s rules. Work or school mailboxes may retain deleted messages under a retention policy or place them in a recoverable-items area. Emptying Deleted Items does not necessarily override those policies.
  • Use the correct keyboard modifier. Ctrl-click is for separate selections on Windows; Command-click is the Mac equivalent. If selection behaves unexpectedly, use the on-screen checkboxes instead.

Troubleshooting

The Archive folder is missing. Expand the mailbox in the folder pane, scroll through the folders, or use the folder search/navigation controls available in your Outlook version. If you are using multiple accounts, check each one. A work account may have an Online Archive only when the organization has enabled it; contact your administrator if you expect one but cannot see it.

Delete is unavailable or the message stays put. Confirm that a message is selected and that you have permission to edit that mailbox. In a shared mailbox or Online Archive, your access may be read-only. If Outlook is offline, reconnect and allow it to sync; then try again. In classic Outlook, restarting the app or updating the folder view can help if the list appears stale.

The message is gone but you need it back. Open Deleted Items or Trash, select the message, and use Move to return it to Archive or another folder. If you already emptied Deleted Items, look for Recover items deleted from this folder in Outlook on the web or the equivalent recovery option in your Outlook version. Availability and recovery time limits depend on the account and administrator settings, so act promptly or contact your IT administrator.

The message reappears or remains on another device. Check that both devices are signed in to the same account and that Outlook has finished syncing. If you work in a local PST archive, its contents may not sync to other devices. For server mailboxes, sign in to Outlook on the web and check the folder there; if the web version shows the deletion but the desktop app does not, restart or refresh the desktop app.

Outlook says you cannot delete the item. The mailbox may be at a storage limit, the item may be protected by a retention rule, or your permissions may not allow deletion. Try deleting a single message first. If the restriction persists, do not try to remove the entire archive; ask the mailbox owner or administrator to check permissions and retention settings.

Frequently Asked Questions

Does deleting an email from Archive delete it permanently?
Usually not. Delete moves it to Deleted Items or Trash first. It is removed from that folder only when you empty it or when the account’s cleanup rules remove items.

Can I delete every email in the Archive folder at once?
You can select multiple messages, but the exact select-all behavior depends on the Outlook version and the current view. Review what is selected before deleting; a selection may apply only to loaded or displayed results, and conversations can contain multiple messages. For a large cleanup, work in batches.

Will deleting an archived email remove it from my phone too?
If the Archive is part of a synced mailbox, deletion normally syncs to other devices signed in to that account. A local PST archive is different and may exist only on the computer where it is stored.

What is the difference between Archive and Online Archive?
Archive is typically a folder within your mailbox where you can move messages. Online Archive is a separate archive mailbox provided for some work or school accounts. Their folders and retention policies may differ, so confirm which one contains the email before deleting.

Can I recover an email after emptying Deleted Items?
Sometimes. Outlook or your organization may offer a recovery window or a recoverable-items folder, but this is not guaranteed and depends on account settings and retention policies. Check the recovery option quickly or contact your administrator.

Does the Archive button delete messages?
No. It normally moves a message out of the Inbox and into Archive. To delete that archived message, open Archive, select the message, and choose Delete.
