To clear Outlook’s recipient cache, remove a suggestion from the address drop-down as you compose a message, or clear the full Auto-Complete list in classic Outlook for Windows. The cache stores addresses Outlook suggests; clearing it does not delete messages, contacts, or entries in your organization’s address book. First identify which Outlook version you use, because the full-list control differs by version.
What You’ll Need
- Access to the Outlook account and app where the incorrect suggestion appears. Suggestions can differ between classic Outlook, new Outlook, Outlook for Mac, and Outlook on the web.
- A few minutes to check the result by starting a new message. You do not need administrator access or a special utility.
- If the address is in your saved Contacts or your company directory, access to edit that source as well. Clearing Auto-Complete alone will not remove a saved contact or directory entry.
Step-by-Step
- Identify which Outlook you are using. Classic Outlook for Windows has a File tab and an Options window. New Outlook for Windows has a Settings gear and looks similar to Outlook on the web. Outlook for Mac has its own Settings or Preferences window, depending on the release. If you are unsure, check whether the File tab is present: if it is, follow the classic Windows steps below.
- Try removing just one suggestion first. Start a new email and click in the To field. Type enough of the recipient’s name or address for the unwanted suggestion to appear. In the suggestion list, point to or select the incorrect entry and choose the X or remove control beside it. In some versions, you can highlight the suggestion with the arrow keys and press Delete. Confirm that you selected the suggestion itself, not a contact or an address you have already entered in the message. This is usually the best choice when only one address is wrong.
- Clear the complete list in classic Outlook for Windows, if needed. Close any open message windows. Select File > Options > Mail. In the Send messages section, select Empty Auto-Complete List, then confirm the prompt. Select OK to close Outlook Options. This clears the saved suggestions from the list; it does not remove people from Contacts or delete mail. When you address future messages, Outlook will build suggestions again as you send to recipients.
- Clear suggestions in new Outlook or Outlook on the web. Select the Settings gear, then open General > Privacy and data. If your version offers Delete history, use that option and confirm the prompt to remove the stored suggestion history. The exact label or availability can vary by rollout, account type, and app version. If you do not see that control, remove unwanted entries individually from the recipient drop-down using the X or remove option. Do not choose a broader account or mailbox deletion option to solve an autocomplete problem.
- Clear the list in Outlook for Mac. Open Outlook and go to Outlook > Settings (called Preferences in some older releases). Look for AutoComplete and choose Clear AutoComplete List, if that control is available. If your release does not show a full-list button, compose a message, reveal the unwanted suggestion, and use the remove or X control beside it. Menu names can differ between classic and new Outlook for Mac, so use the individual-removal method if the setting is absent.
- Check whether the address comes from another source. Start another new message and type the name again. If the old entry is gone from the suggestion list but the same person still appears, check your Outlook contacts, the organization’s address list, and any shared mailbox or directory source. Correct or delete the contact in its source only if that record itself is wrong. Do not delete a valid contact simply to suppress a cached suggestion.
- Verify with a fresh message. Close the draft without sending it, open a new message, and type the same few letters. A cleared suggestion should no longer appear as a cached recipient. If Outlook suggests the address again after you send to it, that is expected: the app can add recent recipients back to its suggestion history. You can repeat the removal, or correct the underlying contact if it is the source.
Common Mistakes
- Confusing the cache with Contacts. Auto-Complete is a convenience list of suggested recipients. Contacts are saved records, and a company directory is maintained separately. Clearing one does not automatically edit the others.
- Looking for the classic Windows control in new Outlook. The File > Options > Mail path belongs to classic Outlook for Windows. New Outlook and Outlook on the web use Settings, and available history controls vary. If you cannot find the full-clear option, remove individual entries instead.
- Removing the wrong suggestion. Similar names may appear together, and the X can be easy to miss. Read the full displayed address before removing it. A typo in a current message’s To field is not necessarily a saved cache entry.
- Expecting a cleared cache to fix every address problem. A directory entry or contact can still be suggested after clearing history. Fix the source record, or ask your organization’s administrator to update directory information you cannot edit.
- Assuming a suggestion will never return. Outlook may save a recipient again after you send to that address. Clearing the list is not a permanent block or a rule that prevents future suggestions.
Tips
- Use individual removal when one old or misspelled address is the problem. Use the full-list option only if you want to reset all cached recipient suggestions, since it also removes useful recent recipients.
- When a name has several matches, check the complete email address and display name before choosing. This helps avoid sending confidential information to a similar-looking recipient.
- Make sure you are signed into the correct account and using the same Outlook version where the suggestion appeared. A work account and a personal account can have separate contacts and suggestion histories.
- If a colleague still sees a bad address, clearing your own suggestions will not necessarily clear theirs. Each user may have a separate cache, and shared directory information may require an administrator to correct it.
- For important messages, verify every recipient in the To, Cc, and Bcc fields before sending. Cache cleanup reduces stale suggestions, but it is not a substitute for checking the actual addresses in a message.
Troubleshooting
The X or remove command is not visible. Click in the To field and type a few characters to open the suggestion list. Move the pointer over the unwanted entry or navigate to it with the arrow keys; the remove control may only appear when the suggestion is highlighted. If the interface does not offer removal, try the full-list setting available for your Outlook version.
The incorrect address returns immediately. Check whether it is a saved contact, an entry from your company’s address list, or an address another connected account is supplying. In classic Outlook, open People and search for the name to inspect your own contacts. For a work directory entry you cannot edit, contact your Microsoft 365 administrator. A cached suggestion can also be recreated after you send another message to that recipient.
The menu path does not match these steps. Outlook features can move as Microsoft updates the apps, and managed work accounts can have different settings. Confirm whether you are in classic or new Outlook, update the app if your organization permits it, and check Settings for AutoComplete or privacy/history options. If a full-list control is missing, remove suggestions one at a time rather than deleting profile files or changing registry settings.
The suggestions seem unchanged after clearing. Close and reopen the compose window, then test with a new message. Make sure you cleared the list in the same account and app where the suggestion appears. If the display name still appears but the email address is now correct, Outlook may be drawing it from a contact or directory rather than the cleared cache. Avoid repeatedly clearing unrelated mailbox data; it will not fix a source contact.
Frequently Asked Questions
Does clearing the recipient cache delete my contacts?
No. It removes cached recipient suggestions. Saved contacts, mail, and calendar items remain unless you delete them separately.
Can I remove just one recipient instead of the whole list?
Yes. Open a new message, show the suggestion, and select its X or remove control. This is the least disruptive option when only one entry is wrong.
Why does Outlook suggest an address after I cleared it?
It may have come from Contacts or your organization’s directory, or Outlook may have saved it again after you sent a message to that person. Check the source and remove the suggestion again if appropriate.
Does clearing suggestions in Outlook on the web clear them in the desktop app?
Not necessarily. The behavior depends on the Outlook version, account, and how its suggestion data is stored or synchronized. Check each app where the address appears and remove it there if needed.
Can I stop Outlook from suggesting recipients altogether?
Some versions provide controls for suggested recipients, but the available settings vary. If you only want to prevent one address from appearing, remove that entry; clearing the list does not permanently block it from being suggested again.
Is recipient cache the same as the offline address book?
No. The recipient cache is based on recent or suggested addresses. An offline address book is a downloaded copy of directory information, so clearing Auto-Complete does not remove or update directory records.
