Clear the To Field Cache in Outlook: Step-by-Step Guide

To clear Outlook’s To field suggestions, remove an individual address with the X beside it in the suggestion list. To clear the entire Auto-Complete list in classic Outlook for Windows, go to File > Options > Mail > Empty Auto-Complete List. These steps remove remembered recipient suggestions, not saved contacts or messages. First identify which Outlook version you use, because the full-list command is not available in every version.

What You’ll Need

  • Access to Outlook and, if you want to clear all suggestions, permission to change its settings.
  • A few seconds to check whether you use classic Outlook for Windows, new Outlook, Outlook on the web, or Outlook for Mac. The app’s appearance and available commands differ.
  • If you are removing one entry, part of the name or email address so you can make the suggestion appear.

Step-by-Step

  1. Open a new message. Select New mail or New Email, depending on your Outlook version. You do not need to send the message. The goal is to display the recipient suggestions in the To field.
  2. Choose whether to remove one suggestion or clear the full list. Removing one entry is usually the better choice if only a single address is wrong or outdated. Clear the full list only if you want Outlook to forget all its previously suggested recipients.
  3. Remove one suggestion in Windows, new Outlook, or Outlook on the web. Click in the To field and type enough of the person’s name or email address to show the unwanted suggestion. Move the pointer over that suggestion and select the X beside it. If the suggestion is highlighted or selected, make sure the X belongs to the correct entry before clicking. Close the draft when you are done; there is no need to send it.
  4. Clear all suggestions in classic Outlook for Windows. In the main Outlook window, select File > Options > Mail. Scroll to the Send messages section and choose Empty Auto-Complete List. Confirm the prompt by selecting Yes. Close the Options window, open a new message, and test the To field. The list will be empty until Outlook gathers recipient suggestions again as you send messages.
  5. Check that you are using classic Outlook if the command is missing. Classic Outlook has a File tab and an Options window. New Outlook for Windows has a more web-like layout and does not have that same File > Options > Mail command. If you are in new Outlook, remove suggestions individually using the X in the recipient dropdown. Do not use a browser-cache clearing command as a substitute; browser data and Outlook’s recipient suggestions are different things.
  6. Remove an entry in Outlook for Mac. In current Outlook for Mac, start a new message, type the recipient in the To field, and select the X beside the unwanted suggestion. In some classic Outlook for Mac versions, you can also choose Window > Previous Recipients, find the entry, and remove it from that list. The menu and list controls vary by version, so use the X in the compose window if you do not see Previous Recipients.
  7. Verify what the entry represents. After removing a suggestion, type the same name again to see whether it has disappeared. If it returns, it may be coming from your contacts, your organization’s address list, or another connected address source rather than only the Auto-Complete cache. Removing a suggestion does not delete the underlying contact or change the recipient’s mailbox.

Common Mistakes

Confusing the cache with Contacts. The To field can suggest an address that is saved as a contact. Clearing the Auto-Complete list does not delete contacts from Outlook’s People or Contacts area. If the suggestion comes from a saved contact, edit or remove that contact separately if that is what you intend. Be especially careful with work or shared contacts, since changes may affect more than the suggestion list.

Looking for the classic command in new Outlook. If you cannot find File > Options, you may be using new Outlook. The two Windows apps have different settings screens. Removing a suggestion with its X is the practical option in new Outlook; do not assume an online guide’s classic Outlook steps apply to your version.

Clearing unrelated browser data. Deleting cookies, browser history, or general cached files is not the same as clearing Outlook’s recipient list. It can sign you out of websites or remove other browser data without removing the suggestion you care about.

Removing the wrong person. Several people can have similar names. Read the displayed email address before selecting the X, particularly when composing to a distribution list or someone outside your organization.

Expecting a permanent block. Removing an address from suggestions does not block that sender, prevent mail from arriving, or stop Outlook from suggesting the address again if you use it later. It only removes a remembered suggestion from the relevant list.

Tips

Use the single-entry method for an old address, a typo, or a person you no longer contact. It leaves useful suggestions for other recipients intact. If you are clearing the full classic Outlook list because suggestions are confusing, expect to rebuild it gradually: Outlook can remember recipients again as you address and send new messages.

Before sending a message to an unfamiliar or similarly named recipient, check the complete email address shown in the To field. A display name alone may not be enough to distinguish a personal contact from a colleague or an external address. Removing an incorrect suggestion helps, but it is not a replacement for checking the address on important messages.

If you switch between Outlook apps or devices, remember that the suggestion list may not behave identically everywhere. A suggestion removed in one app may still appear in another if that app uses a different local list or another source, such as saved contacts or a company directory. Try the same removal in the app where the suggestion appears.

If the wrong address appears because a contact record is outdated, update the contact as well as removing the suggestion. Otherwise, Outlook may continue to find the old address from that record. For a work account, your organization may manage directory entries; contact your administrator if the incorrect address is part of the company address list.

Troubleshooting

The X does not appear. Type more characters in the To field and move your pointer over the specific suggestion. On a touch screen, tap the suggestion or its removal control if shown. If the entry is selected but there is no visible X, check the app version and its available controls; do not select a different recipient simply to make the list change.

The suggestion comes back after you remove it. Check whether the same address is saved in Contacts or is supplied by your organization’s address list. If you have used the address again, Outlook may also have learned it as a new suggestion. Remove the contact or correct its details only if you want to change the saved record, not just the remembered suggestion.

The full-list button is missing. Confirm that you opened classic Outlook for Windows rather than new Outlook or Outlook on the web. In classic Outlook, the path is File > Options > Mail, then the Send messages section. If you are using another version, use the individual X removal method; its menus may not include a bulk-clear option.

The list is still visible immediately after clearing it. Close the Options window, open a fresh message, and check the To field again. Make sure you selected Empty Auto-Complete List and confirmed the prompt. If the address is still suggested, test a different recipient and check whether the entry is coming from Contacts or a directory rather than the list you cleared.

You cannot change a work directory entry. A company or school address list may be controlled by an administrator. Removing a cached suggestion will not edit that directory record. Ask your IT team to correct the address if the directory itself contains outdated information.

Frequently Asked Questions

Does clearing the To field cache delete my emails?
No. Clearing the Auto-Complete list removes recipient suggestions; it does not delete sent messages, inbox messages, or drafts.

Will clearing the cache delete my Outlook contacts?
No. Contacts are separate from Auto-Complete suggestions. You must edit or delete a saved contact separately if you want to change that record.

Can I clear just one incorrect address?
Yes. Start a message, type enough of the address or name to show the suggestion, and select the X beside that entry. This is usually preferable to clearing the full list.

Can I clear the whole list in new Outlook?
New Outlook does not use the classic Windows File > Options > Mail > Empty Auto-Complete List command. Remove unwanted suggestions individually with the X in the recipient dropdown. If you need a broader account-level change, check your organization’s support guidance rather than clearing unrelated browser data.

Does this stop Outlook from suggesting the person again?
Not necessarily. Outlook may suggest the address again if you use it later, or if it is available from Contacts or an organization directory. Removing a suggestion is not the same as blocking an address.

Is the To field cache the same as Outlook’s search history?
No. Recipient suggestions help address messages, while search history relates to searches. Clearing one does not automatically clear the other.
