To archive several emails in Outlook, select the messages in your inbox or another mail folder, then choose Archive. Outlook moves the selected messages to the Archive folder without deleting them, so they leave the current folder but remain searchable and available to open later. The exact button location varies slightly between Outlook versions.
Before you start, decide which messages you want to move and check that you are in the right account and folder. Archiving is useful for clearing a crowded inbox while keeping messages you may need again. It is not the same as deleting mail or moving it to a separate Online Archive mailbox.
What You’ll Need
- Access to the Outlook account that contains the messages, using Outlook for Windows, Outlook for Mac, or Outlook on the web.
- A clear idea of which messages to keep. If you use a search or filter to find them, review the results before selecting them.
- Optional: a mouse or trackpad for selecting a range, or the keyboard shortcuts described below for selecting individual messages.
Step-by-Step
- Open the folder containing the emails. In Outlook, select the inbox or another mail folder from the folder pane. If you want to archive messages from several folders, you will usually need to repeat the selection and archive action in each folder. Archiving one selection does not automatically include messages in other folders.
- Find the messages you want to archive. Scroll through the folder, or use the search box to narrow the list by sender, subject, or another detail. If you search, check the folder or search scope shown by Outlook. Search can return messages from more than one folder, depending on your settings, so verify that each result is one you intend to move. Sorting by sender or date can also make a group easier to review.
- Select multiple messages. In the message list, click the first message. To select a continuous range, hold Shift and click the last message in the range. To select separate messages, hold Ctrl on Windows while clicking each one. On a Mac, hold Command to select separate messages; use Shift for a continuous range. The selected messages should be visibly highlighted or checked. If you accidentally select one, use the same modifier key and click it again, or clear the selection and start over.
- Optionally select all messages in the current folder view. If you genuinely want to archive every message in the list, click within the message list and press Ctrl+A on Windows. On a Mac, use Command+A. Check the selection before continuing: the shortcut can act on a text field or another part of the window if the message list does not have focus. In a web view, Outlook may show only the messages currently loaded or offer a separate option to select all matching results. Read any selection banner and do not assume that selecting visible rows includes every result in a large folder.
- Choose Archive. In new Outlook for Windows, select Home > Archive on the ribbon. In classic Outlook for Windows, select Home > Archive in the ribbon; the button may appear in the Delete group, depending on the ribbon layout. In Outlook on the web, use the Archive button on the message toolbar. In Outlook for Mac, select Home > Archive. If the button is not visible, open the More actions menu, often shown as three dots, and look for Archive. The command should apply to the selected messages.
- Confirm the messages have moved. The selected messages should disappear from the folder you were viewing. Open the folder named Archive in the folder pane to confirm they are there. If the folder pane is collapsed, expand the account or use the folder list to locate it. You can also search for a distinctive subject and check the message’s folder or open it from the results.
- Repeat for another folder or selection if needed. If you have more emails to archive elsewhere, go to that folder, select the next group, and choose Archive again. For a large clean-up, work in manageable batches and check each batch before moving on. This reduces the chance of including a message you meant to keep in its original folder.
In most Outlook accounts, the Archive command moves messages into a standard folder named Archive. It does not erase the message, remove its attachments, or automatically send it to a special storage mailbox. Your organization’s retention rules may affect how long mail is kept, but the button itself is a move action.
Common Mistakes
- Choosing Delete instead of Archive. Delete moves messages to Deleted Items (or the account’s trash folder). If you click the wrong command, check that folder promptly and move the messages back.
- Selecting the wrong set of messages. A Shift-click selects a continuous range, which can include messages between the two clicks. Ctrl-click on Windows or Command-click on Mac is better for choosing nonadjacent items. Review the highlighted rows before archiving.
- Assuming Archive means permanent storage. The regular Archive folder is still part of the mailbox. It is different from an organization’s Online Archive or an archive data file, which may have separate access and retention rules.
- Using Select All without checking focus or scope. If the cursor is in the search box, Ctrl+A or Command+A may select its text instead. In a web search, selection may cover only loaded results or the current page. Confirm what is selected before clicking Archive.
- Expecting the messages to vanish from every search. Archived mail usually remains searchable. It may appear in search results even though it is no longer in the Inbox. Check the folder location rather than treating a search result as proof that archiving failed.
Tips
- Use a search to make a focused batch. Search for a sender, subject phrase, or date range, then inspect the results and select only the intended messages. Remove the search or return to your normal folder afterward so you know which view you are working in.
- Archive in smaller groups. When cleaning up years of mail, do a month, sender, or project at a time. Smaller batches are easier to verify and simpler to undo if you spot an error.
- Use Archive for messages you may need, not messages you want to discard. If a message is no longer useful and your policy allows removal, use Delete instead. If you need durable records, follow your organization’s retention or records-management instructions rather than relying on a personal folder.
- Keep the Archive folder easy to find. In the folder pane, expand the account’s folder list and look for Archive. You can favorite or pin a folder if your Outlook version offers that option, but the exact control varies by version.
- Remember that archiving is generally per account. If you use multiple mailboxes, verify the account shown in the folder pane before selecting messages. An Archive folder in one mailbox is not necessarily the same folder as one in another.
Troubleshooting
The Archive button is missing: First select at least one message; some layouts show message actions only after a selection. Look on the Home ribbon or open the three-dot More actions menu. If the ribbon is simplified, expand it or look for an overflow menu. Your workplace may also restrict available actions, so check with your Microsoft 365 administrator if Archive is absent throughout Outlook.
The emails did not leave the Inbox: Check whether they remain selected and whether an error or sync indicator appeared. Confirm that you clicked Archive, not a different toolbar icon. In a connected account, allow a moment for changes to sync, then refresh Outlook on the web or close and reopen the folder. Check the Archive folder and search for one of the subjects. If using a shared mailbox, confirm you have permission to move its messages.
The emails are not in the Archive folder: Search for a distinctive subject and inspect the result’s location. A message may have been moved to a different folder, or your search may include another account. Check Deleted Items if you might have clicked Delete. If your organization uses retention labels, policies, or a separate Online Archive, ask the administrator where those messages are stored.
Only some messages moved: Return to the original folder and see which messages remain. You may have selected only the currently loaded results, missed rows while scrolling, or applied a filter that hid messages. Select the remaining intended emails and archive them as another batch. In Outlook on the web, pay attention to any prompt offering to select all results beyond the visible list.
The folder pane does not show Archive: Expand the mailbox’s folder list, scroll through the folders, or use Outlook’s folder search or navigation options if available. Some account types or customized mailbox views may display folders differently. If you still cannot find it, search for a message you archived and use its location to identify where it went.
Frequently Asked Questions
Does archiving multiple emails delete them?
No. Archive moves the selected messages out of the folder you are viewing and into the account’s Archive folder. They normally remain available to open, search, reply to, or move again. Use Delete if you intend to place messages in Deleted Items instead.
Can I archive multiple emails at once in Outlook?
Yes. Select a range with Shift-click, or choose separate messages with Ctrl-click on Windows or Command-click on Mac, then choose Archive. You can also select all messages in the current view, but confirm the scope before acting.
Can I archive messages from several folders in one action?
Usually, the simplest reliable approach is to archive each folder’s selection separately. A search may return messages from several locations, but the search scope and selection behavior differ by Outlook version. Check each result and its location carefully before moving a mixed set.
Where do archived emails go?
They typically go to the folder named Archive in the same mailbox. This is not necessarily the same as an Online Archive mailbox, which an organization may provide separately. If you cannot locate a message, search for it and check its folder location.
Can I undo archiving?
If the action was recent, use Outlook’s Undo command if it is offered. Otherwise, open Archive, select the messages, and move them back to the Inbox or another folder using Move. If you archived the wrong messages, doing this promptly makes them easier to find.
Will archived emails still appear in search?
Usually, yes. Archiving changes the folder location; it does not normally make a message unsearchable. Search scope, account settings, and synchronization can affect what appears, so check that Outlook is searching the relevant mailbox.
