To show numbering such as 1 of 3 in Microsoft Word, choose Insert > Page Number and select a Page X of Y layout. Word inserts live fields, so the current page and total page count update as the document changes. If you want the exact appearance 1 of 3 without the word Page, use a footer and insert the PAGE and NUMPAGES fields instead.
What You’ll Need
- A Word document open in Microsoft 365 or a recent desktop version of Word. The instructions below use Word for Windows; Mac menus can be arranged differently.
- Permission to edit the document. If it is protected or opened read-only, you may need to save an editable copy first.
- A moment to decide where the numbers should appear: in the header or footer, and whether the first page should have a number.
Step-by-Step
- Open the page-number menu. In Word for Windows, open the Insert tab, select Page Number, then choose Top of Page or Bottom of Page. Pick the location that suits the document. A footer is a common choice for reports and handouts; a header can work better when the footer already contains other information.
- Choose a Page X of Y layout. In the gallery, look for a design labeled Page X of Y or a preview that shows a current page number and a total. Select it. Word adds numbering to the selected header or footer, with the first page showing something like Page 1 of 3 and the next page Page 2 of 3. The total is calculated from the document rather than typed as a fixed number.
- Check whether you want the word Page. Some layouts include the word Page, while others show only the two numbers and the word of. If the gallery has a style that matches your requested 1 of 3 format, use that. If it only offers Page 1 of 3, you can either keep the label or use the manual field method in the next step to control the wording exactly.
- Use fields for the exact text 1 of 3, if needed. Double-click inside the footer or header to edit it. Click where the numbers should go, type 1 only if you want a fixed label—which is usually not what you want—or, preferably, insert a live field. On Windows, choose Insert > Quick Parts > Field, select Page from the field-name list, and choose OK. Type a space, of, and another space. Repeat the Field command, choose NumPages, and choose OK. The result is a live current-page field, separator text, and live total-pages field. Do not type the total page count yourself.
- Use the corresponding field command on Mac if necessary. In Word for Mac, open the header or footer by double-clicking it, then use Insert > Field and select the page field. Insert the separator text, then insert the total-pages field, commonly named NumPages. The exact menu placement can vary between Mac releases, so use the Insert menu rather than typing field names as ordinary text. If your Mac version offers a Page X of Y choice under Insert > Page Number, selecting it is the quicker option.
- Set the numbering style or starting number. While the header or footer is open, use Insert > Page Number > Format Page Numbers on Windows. Choose a number format if you need something other than 1, 2, 3, and set Start at when the document should begin at a number other than 1. This setting changes the page number sequence; it does not change the total-pages field into a section total.
- Decide what should happen on the first page. With the header or footer active, look on the Header & Footer tab for Different First Page. Select it if the cover page should have no number or a different footer. If you leave this option off, the first page normally displays 1 of the document’s total pages. If you turn it on, the first-page header or footer becomes separate, so add numbering there only if you want it visible.
- Close the header or footer and review the document. Select Close Header and Footer, or double-click in the main body of the document. Look at the first page, a middle page, and the last page. For a three-page document, check that the sequence ends at 3 of 3. If the displayed total seems stale, right-click the field and choose Update Field; you can also update fields before printing.
Common Mistakes
Typing the numbers as normal text. Typing 1 of 3 in the footer looks right on the first page, but it repeats unchanged on every page and becomes incorrect if the document grows or shrinks. Use page-number fields or a built-in Page X of Y layout so Word calculates each value.
Confusing a section total with the document total. The NumPages field counts pages in the entire document. If your file contains several sections and you need a count for only the current section, the relevant field is SectionPages. Use that only when each section is meant to have its own total; it is not the same as the total number of pages in the whole file.
Editing the wrong footer. Documents with section breaks can have separate headers and footers. A change may affect only the current section, or it may carry through to later sections if Link to Previous is enabled. Check the section label while editing and decide whether the sections should share numbering.
Expecting the total to be three automatically. The field shows the current number of pages, not a promised total. A document that reflows to four pages should show 1 of 4 on the first page. Page size, margins, fonts, images, and printer settings can all affect the final count.
Tips
Use the built-in gallery when its appearance works. It is faster than assembling fields, and Word handles the spacing and alignment for you. Use the manual PAGE and NUMPAGES fields when you need a precise format, such as 1 of 3 without Page, or when the gallery layout does not fit the rest of the footer.
Keep the number readable but unobtrusive. A modest font size, consistent font, and enough space from the edge of the page make the footer easier to scan and less likely to be cut off in printing. If the footer already has a document title or date, use tabs or the footer layout controls to keep the items from running together.
Save after making changes, then check Print Preview before distributing the file. In Word, use File > Print to inspect how the footer sits on the page. Preview can reveal a number that is too close to the edge, a cover-page number you meant to hide, or an unexpected extra page caused by a layout change.
Remember that NUMPAGES is a field, not a live counter that visibly recalculates after every keystroke in every situation. Word usually updates fields when needed for display or printing, but manually updating a field is a useful final check. If the document will be shared in a format that should not reflow, export a PDF after checking the page count.
Troubleshooting
Every page says 1 of 3. The current-page number may have been typed rather than inserted as a PAGE field. Double-click the footer, remove the repeated digit, and insert the Page field using the Field command. Leave the word of as ordinary text, then insert NumPages for the total.
The total is wrong or does not change. Confirm that you used NumPages for the whole document, not a number typed into the footer. Add or remove content, then right-click the total field and select Update Field. If it still appears out of date, save the file, reopen it, and check Print Preview. A section-specific field will show a different count in a multi-section document.
The first page has no number. Double-click the header or footer and inspect Different First Page on the Header & Footer tab. If it is selected, Word uses a separate first-page area. Either clear the option to use the same numbering style throughout or insert a page-number field into that first-page area.
Numbering restarts after a section break. Click in the affected section’s header or footer and open Page Number > Format Page Numbers. Choose Continue from previous section if numbering should run on, rather than starting again. Also check whether Link to Previous is on; linking controls shared header or footer content, while the numbering format controls the sequence.
The number is missing, misplaced, or clipped. Make sure the footer or header contains the field and that the text color is not blending into the page. Check the page margins and the header or footer position, then inspect Print Preview. If the document uses a different first page or multiple sections, examine each relevant header and footer separately.
Frequently Asked Questions
Can Word display exactly 1 of 3 without the word Page?
Yes. Edit the footer or header, insert the PAGE field, type the separator text of, and insert the NUMPAGES field. The current and total numbers stay dynamic, while the word Page is omitted.
Will the total update if I add another page?
Yes. A Page X of Y layout or a NUMPAGES field uses the document’s page count, so a new page should change the total from 3 to 4. If it does not refresh immediately, update the field or check Print Preview.
How do I hide the number on the cover page?
Open the header or footer and select Different First Page on the Header & Footer tab. This separates the cover-page area from the later pages. You can leave the first-page area blank and keep numbering on the following pages.
Can numbering start at 1 on the second physical page?
Yes. Use Different First Page to leave the cover page unnumbered, then use Format Page Numbers to set the numbering sequence as needed. If you need the second physical page to display 1, check the starting-number setting and review all pages in Print Preview.
Does 1 of 3 mean three sheets of paper?
Not necessarily. It means page 1 of three pages in the Word document. Printing double-sided can put two document pages on one sheet of paper, and print settings can also change how pages are arranged.
