To add page numbers in PowerPoint, open Insert > Header & Footer, check Slide number on the Slide tab, then choose Apply to All. PowerPoint calls these slide numbers; they help viewers follow a presentation, refer to a particular slide, and see where they are in a printed handout. You can leave the title slide unnumbered, change the starting number, or adjust where the number appears.
What You’ll Need
- A PowerPoint presentation you can edit in Microsoft PowerPoint for Microsoft 365 on Windows or Mac.
- A few minutes to check that the number is legible and positioned well on your slide layouts.
- If your presentation uses a custom theme, access to its Slide Master or layout settings in case the number placeholder is hidden.
Step-by-Step
- Open the presentation and choose the numbering setup. Open the file in the PowerPoint desktop app and save a copy if you want to preserve the original appearance. Decide whether the title slide should have a number and whether numbering should begin at 1 or another value. These choices are easy to change later, but deciding first makes it simpler to check the result.
- Open the slide numbering controls. On Windows, select the Insert tab on the ribbon, then choose Header & Footer. In the dialog box, select the Slide tab if it is not already selected. This is the control for numbers displayed on presentation slides. The separate Notes and Handouts tab is for printed notes pages and handouts, not the slides themselves.
- Turn on the slide number. Check the box labeled Slide number. The preview in the dialog may not show the number’s final position or style; PowerPoint uses a slide-number placeholder supplied by the current theme or layout. Avoid typing a number into a text box as a substitute, because manually typed numbers will not update as you add, remove, or rearrange slides.
- Choose whether to number the title slide. If the first slide should remain clean, check Don’t show on title slide. This hides the number on the title slide while keeping numbering enabled for the rest of the presentation. If you want the title slide numbered too, leave this option unchecked. This setting does not remove or renumber the slide; it only controls whether its number is displayed.
- Apply the setting to the presentation. Select Apply to All to show slide numbers throughout the deck. Choosing Apply instead changes only the currently selected slide, which is useful for a one-off adjustment but often explains why numbers appear on just one slide. If a slide already has a custom layout, inspect it after applying the setting to confirm that the placeholder is visible.
- Check the result in Normal view. Close the dialog and review several slides, including the title slide, a typical content slide, and any slides with unusual layouts. The number usually appears near a lower corner, but its exact location depends on the theme. Confirm that it is readable against the background and does not overlap a footer, chart, photo, or other content.
- Change where the number appears, if needed. For a small adjustment on one slide, select the slide number placeholder and drag it to a better position, or use the arrow keys to nudge it. To make a consistent change across slides, select View > Slide Master, choose the master or relevant layout, and move or format its slide-number placeholder there. Close Master View when finished, then check slides that use different layouts. Changing the master is usually preferable to moving numbers one slide at a time.
- Set a different starting number if required. Select Design > Slide Size > Custom Slide Size. In the dialog, find Number slides from, enter the starting number, and confirm. For example, entering 5 makes the first slide’s number 5, and the following slides continue from there. If the title slide is hidden from numbering, check the visible sequence in the presentation to make sure it matches your intended convention.
- Save and check the presentation in Slide Show view. Save your changes, then start the show from the beginning or from a representative slide. A number that looks clear in the editor can be hard to see on a projector or against a full-bleed image. If you plan to distribute a PDF, export a sample and inspect the pages as well, since that is what recipients may use.
On Mac: The basic process is similar in Microsoft 365 for Mac: choose Insert > Slide Number or open Insert > Header & Footer, depending on the ribbon layout, then enable slide numbering and apply it to all slides. The dialog may be arranged differently from Windows. Use the Slide Master view to adjust a shared placeholder. If you do not see a named command, widen the PowerPoint window or expand the Insert ribbon; a simplified ribbon can hide commands.
Common Mistakes
- Choosing Apply instead of Apply to All. Apply affects the selected slide only. If you expect numbering throughout the deck, select Apply to All, then inspect a few slides to confirm the change.
- Confusing slide numbers with typed text. A number entered into a regular text box is static. It will not change when slides are moved or inserted, so it can quickly become inaccurate. Use the built-in Slide number setting and placeholder instead.
- Expecting the number to appear in the same place on every layout. A theme can use different layouts with distinct placeholder positions, and some layouts may not display a number at all. Check the layouts used in your deck rather than assuming the title-slide layout represents every slide.
- Leaving the title slide numbered unintentionally. If you want the title page to look like a cover, turn on Don’t show on title slide. Remember that this hides its number; it does not change the underlying slide order.
- Ignoring contrast and overlap. A number can technically be present but disappear over a dark image or sit on top of a footer. Use a position and text color that remain clear on the actual slide backgrounds.
- Editing only one layout when the deck uses several. Moving a placeholder on one layout may not affect slides based on another. In Slide Master view, review the master and the layouts used by your presentation, and adjust each relevant layout when necessary.
Tips
- Keep placement predictable. A consistent corner and distance from the slide edges makes numbers easier to find. Align them with an existing footer or margin rather than placing each number by eye.
- Use a modest size. Slide numbers should be easy to read but less prominent than the slide title and main content. A simple font and restrained color usually work better than decorative formatting.
- Check the smallest viewing context. Look at the presentation in Slide Show view and, if relevant, as a PDF or printed handout. Text that looks large on a desktop monitor may be difficult to read in a room.
- Consider your audience’s reference needs. Numbering is particularly useful for training, workshops, presentations with questions, and decks that will be reviewed later. For a short visual presentation, a title slide without a visible number can keep the opening uncluttered.
- Remember that slide number and position are related but not identical. If a deck starts at 5, the first slide can display 5 even though it is the first slide in the file. Decide whether you want to show the number used in a larger combined presentation or the order within this file.
- Recheck after structural edits. Automatic numbers update when slides are inserted, deleted, or reordered, but layout changes can affect visibility and placement. Review the deck before sharing it, especially after applying a new theme.
Troubleshooting
The numbers do not appear anywhere. Reopen Insert > Header & Footer, confirm Slide number is checked, and select Apply to All. If the box is checked but nothing shows, open View > Slide Master and inspect the master and layouts. Make sure the slide-number placeholder is enabled and not positioned beyond the slide edge. A custom theme may have omitted or hidden the placeholder.
The number appears on only some slides. The slides may use layouts with different placeholder settings, or the setting may have been applied only to selected slides. Apply the number to all slides again, then inspect the layouts used by the missing slides in Slide Master view. Also check whether a slide has a shape or image covering the number.
The title slide still shows a number. Open Header & Footer, check Don’t show on title slide, and select Apply to All. If the number remains, the title slide may use a custom layout or a manually inserted text box. In Slide Master view, check its layout and remove or hide any manually added number only if you are sure it is not needed elsewhere.
The number is in the wrong place or hard to read. Adjust the shared placeholder in Slide Master view for a presentation-wide change. For a single exception, edit that slide’s placeholder. If the number blends into the background, change its font color or place it over a clear area; avoid covering essential content. Confirm the result in Slide Show view.
The numbering starts at an unexpected value. Open Design > Slide Size > Custom Slide Size and review Number slides from. Also check whether the deck is part of a larger presentation and intentionally starts at a later number. If you have a hidden title slide, verify which visible numbers you want rather than assuming hiding the number resets the sequence.
Frequently Asked Questions
Is a PowerPoint page number the same as a slide number?
On presentation slides, PowerPoint labels the automatic number as a slide number. People may call it a page number, especially when printing, but the slide number is the built-in feature that updates with the deck’s slide order.
Can I add numbers to only certain slides?
Yes. Select the slide or slides and use the Header & Footer controls with Apply rather than Apply to All. For a deck with many exceptions, it may be easier to apply numbering to all slides and then hide or remove the placeholder on specific layouts or slides.
Can I start numbering at 0 or at a number other than 1?
Yes. Use Design > Slide Size > Custom Slide Size and change Number slides from. Enter the starting value you need, then confirm the displayed sequence on the slides.
Why does the number not change when I rearrange slides?
If it is a built-in slide-number placeholder, it should reflect the updated slide order. If it stays the same, it may be ordinary text that was typed manually. Remove the static text and enable the automatic Slide number option instead.
Can I add slide numbers in PowerPoint for the web?
PowerPoint for the web has a more limited set of design and master controls than the desktop app, and available commands can vary. If you cannot find Header & Footer or need to edit a theme placeholder, open the file in the Microsoft 365 desktop app, set up numbering there, and then save it back to your cloud location.
Will slide numbers appear on printed handouts?
Slide numbering and handout page numbering are separate settings. To number printed handout pages, open Header & Footer and use the Notes and Handouts tab. Choose the options needed for handouts, then apply them as appropriate; this does not replace the number shown on each presentation slide.
