If Excel keeps showing Not Responding when you copy and paste, first wait briefly, then press Esc once and try copying a small range into a blank workbook. If the problem continues, test Excel in Safe Mode and disable add-ins; these steps help distinguish an overloaded workbook or clipboard from an Excel-wide problem.
Why Excel can freeze during copy and paste
Copying cells can involve more than transferring the visible text. Excel may also prepare formulas, number formats, borders, conditional formatting, comments, links, and other cell properties for the destination. A large selection or a workbook with complex formulas can therefore take time to process, especially if the paste triggers recalculation.
The apparent freeze may also be caused by something outside the selected cells. An add-in can interact with copied data, another application may be competing for the Windows clipboard, or a workbook stored in a synced location may be waiting on background activity. If Excel is busy, Windows can label its window Not Responding even though it may recover after the operation finishes.
Look at the pattern before changing settings. If only one workbook is affected, its size, formatting, formulas, links, or corruption are more likely suspects. If every workbook hangs, investigate add-ins, Office updates, and the clipboard. A delay with a million-row selection is different from a repeatable freeze when copying two ordinary cells.
Try these quick checks first
- Give Excel a short chance to finish. Avoid repeatedly clicking or pressing copy and paste while it is busy. Repeated input can queue up actions and make it harder to tell whether the application has recovered.
- Press Esc once. This can cancel an active copy or selection operation, although it cannot fix every kind of hang. If Excel resumes, save the workbook before doing more troubleshooting.
- Test a small range. Copy one or two cells and paste them into a new blank workbook. If that works, try the original range again in smaller sections.
- Close other applications that use the clipboard. Clipboard managers, remote-desktop tools, screen-capture utilities, and other Office apps can sometimes complicate a copy operation. Close them temporarily and retry.
- Restart Excel. Save any open work that can still be saved, close Excel, and reopen it. If Excel will not close, use Task Manager to end the process only as a last resort; unsaved changes may be lost.
On Windows, Ctrl+C and Ctrl+V copy and paste. On Mac, use Command+C and Command+V. Mac users can also test in a new workbook and temporarily quit other apps that may be using the clipboard, but Windows Safe Mode and Windows repair paths below do not apply directly to Excel for Mac.
Check whether the workbook or selection is too large
Copy only the cells you need rather than entire rows, columns, or a large block that merely looks empty. A worksheet can contain up to 1,048,576 rows and 16,384 columns, so copying a full column can ask Excel to process far more cells than a typical task requires. Used formatting far below or to the right of the visible data can also make a workbook behave as if it has a much larger working area.
Try selecting a smaller section and pasting it in stages. If you are moving a table, select its actual data range rather than the whole worksheet. To find how far Excel considers the used area to extend, press Ctrl+End on Windows; if the selected cell is far beyond your real data, unnecessary formatting or old content may be contributing. Review the workbook before deleting anything, since that area could contain data you still need.
Some pastes trigger substantial recalculation. A workbook with many formulas, volatile functions, external links, or data connections may pause after a paste while Excel updates results. If the status bar indicates calculation, allow it to finish. As a diagnostic only, you can temporarily choose Formulas > Calculation Options > Manual, make a small test paste, and then restore Automatic. Manual calculation can leave displayed results out of date, so do not leave it enabled without understanding the consequences.
Use Safe Mode to test add-ins
An Excel add-in can affect copying, pasting, formatting, or data handling. To test this on Windows, press Windows key+R, type excel /safe, and press Enter. Open a copy of the affected workbook, if possible, and repeat the same small copy-and-paste test. Safe Mode starts Excel with certain customizations and add-ins disabled; if the freeze disappears, an add-in or customization becomes a useful lead, not a guaranteed diagnosis.
To check COM add-ins in normal Excel, open File > Options > Add-ins. At the bottom, beside Manage, select COM Add-ins and choose Go. Clear the check box for an add-in, restart Excel, and test again. You can re-enable add-ins one at a time to identify a possible cause. Excel add-ins are managed separately: choose Excel Add-ins in the Manage list and select Go. If your organization manages add-ins, ask its IT team before changing them.
Look at the Windows clipboard and paste method
Windows clipboard history is separate from the basic copy-and-paste commands. Press Windows key+V to open clipboard history; if it is enabled, you can clear its stored items there. You can also close clipboard utilities and retry after restarting Excel. Clearing history is a troubleshooting step, not a way to repair a damaged workbook, and it removes items you may want to paste later.
If the copied range includes formats or formulas you do not need, use a simpler paste. In Excel, Home > Paste opens the paste choices; Paste Values can avoid carrying over source formatting and formulas when you only need displayed results. This will not necessarily solve an Excel or clipboard hang, but it can reduce the work involved in a complicated paste. Check the result before replacing important data, because values-only paste does not preserve formulas.
For a test that separates Excel from the system clipboard, copy a few cells in Excel and paste them into a plain-text editor, then copy ordinary text from that editor and paste it into a blank Excel sheet. If only one direction fails, that clue can narrow the problem to Excel, the source application, or clipboard handling. It does not prove a single cause, since different apps support different kinds of copied content.
Test the workbook and save a safe copy
Before attempting repairs, save a separate copy of the workbook if Excel is responsive enough. Then test whether a new blank workbook has the same issue. If the blank file works, make a copy of the problem workbook and test there. Avoid repeatedly overwriting the only original while investigating.
If the problem follows one file, remove complexity carefully. Test a smaller range, inspect unusual formatting, and consider whether external links, objects, or data connections are involved. Do not delete formulas or links simply because they seem complicated; first confirm what the workbook is meant to do. If the file is stored on OneDrive, SharePoint, a network drive, or another synced location, test a local copy when permitted. A local test can help distinguish workbook behavior from a sync or network delay, but it is not a reason to disregard your organization’s storage rules.
If Excel offers to recover a workbook after a crash, save the recovered version under a new name and compare it with the original. Excel’s Open and Repair option may help with a file that cannot be opened normally: in the Open dialog, select the file, choose the arrow beside Open, and select Open and Repair. Availability and dialog labels can vary. Keep the original untouched, because repair can remove or alter content that Excel cannot recover.
Update or repair Microsoft 365
If the problem affects multiple workbooks and remains in Safe Mode, check for Office updates. In Excel for Microsoft 365 on Windows, go to File > Account > Update Options > Update Now. Save your work first and follow any restart prompt. In a work-managed installation, update options may be controlled by your organization.
On Windows, you can also repair the Office installation. Open Windows Settings > Apps > Installed apps, find Microsoft 365, choose its menu, and select Modify. Depending on your Windows and Office setup, the next screen offers Quick Repair and Online Repair. Quick Repair is the less extensive option; Online Repair is more thorough and may take longer or require an internet connection. Close Office apps before starting and follow the prompts. The exact labels can vary by Windows version.
For Excel for Mac, update Office using Microsoft AutoUpdate or the update options provided with your installation. Windows repair instructions and the excel /safe command are not Mac procedures. If the issue continues on a Mac after updating and testing a fresh workbook, consult Microsoft Support or your organization’s IT team for Mac-specific troubleshooting.
Frequently Asked Questions
Why does Excel say Not Responding but then recover?
Windows uses Not Responding when an app is not responding to its interface messages promptly. Excel may still be processing a large copy, recalculating formulas, or waiting on another operation. Give it time before force-closing, especially if the workbook contains unsaved changes.
Why does Excel freeze only in one workbook?
That often points toward something specific to the file, such as a large used range, extensive formatting, complex formulas, links, or a damaged workbook. Compare it with a blank workbook and test a saved copy using a small range before changing the original.
Can copying an entire column make Excel hang?
Yes, it can make Excel process a very large selection, even when most cells appear empty. Select the actual data range instead. If you need a whole column for a particular reason, allow the operation to finish and check whether the workbook’s used range is much larger than its real data.
Will pressing Esc fix a copy-and-paste freeze?
It can cancel some active operations, but it is not a general repair for a hung application. Press it once, wait briefly, and avoid repeated clicks. If Excel remains unresponsive, you may need to wait longer or restart it, risking unsaved work.
Should I disable all Excel add-ins?
Use Safe Mode as a test before disabling add-ins in normal use. If Safe Mode resolves the issue, disable add-ins selectively and test after restarting Excel. Re-enable the ones you need once you have identified whether one is involved.
Does Paste Values fix Excel not responding?
Not in every case. Paste Values can reduce extra formatting and formula work when the destination only needs results, but it will not fix every clipboard, add-in, workbook, or Office problem. Verify the pasted data because formulas and source formatting are not retained.
